Job Description:
The License Management Specialist is responsible for overseeing and optimizing the usage of software and Software-as-a-Service (SaaS) licenses across the organization. This role focuses on reviewing license utilization, identifying opportunities to reduce unnecessary license usage, and providing detailed reporting to the Finance department for annual chargebacks by department
The License Management Specialist will ensure compliance with licensing agreements, improve cost efficiency, and support strategic decision-making related to software and SaaS investments.
Duties And Responsibilities
- Monitor and analyze the usage of all software and SaaS tools across the organization to ensure optimal license allocation and compliance with vendor agreements.
- Identify opportunities to reduce unnecessary license usage, consolidate licenses, or renegotiate contracts to achieve cost savings.
- Prepare accurate and detailed reports on license usage by department for Finance to facilitate annual chargeback processes.
- Ensure all software and SaaS tools are used in accordance with licensing agreements, mitigating risks of non-compliance.
- Work closely with IT, Procurement, and Finance teams to align license management strategies with organizational goals.
- Coordinate with software vendors to clarify licensing terms, resolve discrepancies, and stay updated on licensing models.
- Establish relationships with business units to facilitate an ongoing review license utilization.
- Maintain and update license inventory databases, ensuring accuracy and accessibility of licensing data including departmental usage of licenses.
- Develop and implement processes to streamline license management and enhance visibility into license utilization.
- Act as the primary point of contact for license utilization questions and reporting.
- Utilize writing skills in policies, presentations, training, communications, and reporting related license management.
Required Qualifications
- Bachelor’s degree in related field
- Business fluent in English
- 4+ years of experience in IT asset management, software licensing, or a related field.
- Familiarity with software and SaaS licensing models (e.g., per-user, subscription-based, enterprise agreements).
- Understanding of IT operations, software compliance, and financial chargeback processes.
- Strong analytical and problem-solving skills to assess license usage and identify optimization opportunities.
- Proficiency in data analysis tools (e.g., Excel, Power BI, or similar).
- Excellent communication skills to collaborate with cross-functional teams and vendors.
- Detail-oriented with strong organizational skills to manage license inventories and reporting.
Preferred Qualifications
- Six or more years of related work experience
- ITIL, Certified Software Asset Manager (CSAM), or equivalent.
Normal Working Hours and Conditions
Core business hours are generally 8:00 am – 5:00 pm. However this position will require work to be performed outside of normal business hours based on Company operations.
Physical Requirements
Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other office locations and to verbally communicate to exchange information.
