Job Description

As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization and welcoming guests. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.


Responsibilities

  • Greet and welcome visitors as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office as needed.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access.
  • Update calendars and schedule meetings for employees as necessary.
  • Ensure all office supplies are stocked and request new items when needed.
  • Assist with administrative tasks, such as data entry and filing paperwork.
  • Maintain an updated and organized filing system for essential documents.
  • Coordinate with the facility management team for maintenance handling.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office equipment, such as printers.
  • Professional attitude and appearance with strong customer service skills.
  • Solid written and verbal communication skills with attention to detail.
  • Ability to be resourceful and proactive when handling issues and queries.
  • Excellent organizational skills with multitasking abilities and time management.
  • High school diploma; additional certification in Office Management is a plus.
