Job Description

The role of a Purchase Officer is essential for maintaining the efficiency and cost-effectiveness of the procurement process in any organization. As a Purchase Officer, you will be responsible for sourcing, negotiating, and purchasing goods and services that meet the organization's quality and affordability standards. You will monitor the supply market, evaluate suppliers, and manage the delivery terms to ensure timely procurement within the allocated budget. Your goal will be to streamline the procurement processes, improve inventory control, and foster strong relationships with suppliers to obtain the best prices and delivery options. Responsibilities

  • Research and evaluate suppliers based on price, quality, selection, and delivery time.
  • Negotiate contracts, terms, and pricing with suppliers and vendors effectively.
  • Prepare purchase orders and send copies to suppliers and to departments originating requests.
  • Monitor shipments to ensure that goods come in on time and resolve problems related to undelivered goods.
  • Review purchase requisitions for accuracy, verifying budget availability and obtaining approvals.
  • Consult with departments about needs and product specifications required.
  • Establish and maintain effective supplier relationships to secure cost-effective arrangements.
  • Analyze market trends and apply this knowledge to make insightful buying decisions.
  • Develop and implement strategies for procuring, storing, and distributing goods or services.
  • Maintain records of goods ordered and received for accounting and auditing purposes.
  • Coordinate with the finance department to ensure accounts are settled in a timely fashion.
  • Participate in the improvement of the supply chain by identifying opportunities to reduce costs.

Requirements

  • Bachelor’s degree in Business Administration, Logistics, or a related field.
  • Proven work experience as a Purchase Officer or in a similar role.
  • Strong negotiation skills with the ability to maintain supplier relationships.
  • Excellent analytical and problem-solving skills for effective decision-making.
  • Proficiency in using purchasing software and Microsoft Office Suite tools.
  • Ability to multitask and oversee multiple procurement activities simultaneously.
  • Strong attention to detail with a track record of ensuring compliance with policies.
