Job Overview

At Griffin, operations is not backend coordination — it is what makes every founder experience feel seamless, premium and intentional.


As Operations Associate, Griffin Club, you will work closely with the Griffin team to manage the execution engine behind Griffin’s salons, retreats, founder gatherings, delegations, private dinners, gifting moments, member touchpoints and special access experiences.

This role is for someone who has a strong bias for action, enjoys bringing order to moving pieces, and can handle high-context execution with speed, ownership and maturity.


You will work across event operations, vendor coordination, logistics, collateral management, guest lists, member data, gifting, checklists, documentation and day-to-day operational follow-ups.

Your Impact in This Role

  • Build the operating backbone of Griffin: help create and maintain the systems, checklists and execution rhythm behind every Griffin experience.
  • Deliver premium founder experiences: ensure events, dinners, salons, retreats and delegations are executed with precision and calm.
  • Own vendor and logistics coordination: work with venues, hotels, gifting partners, printers, designers, photographers, production teams and other vendors.
  • Bring speed to execution: move fast, follow up relentlessly, close loops and ensure nothing falls through the cracks.
  • Make Griffin more repeatable: help convert every event and process into templates, SOPs and reusable operating assets.


Primary Responsibilities

1. Event Operations & Execution

  • Support end-to-end execution of Griffin Salons, Retreats, Privé gatherings, founder dinners, delegations, IPO Dialogue, special access visits and member experiences.
  • Maintain event-wise master checklists, timelines, run sheets and minute-by-minute MOPs.
  • Track guest lists, RSVPs, dietary preferences, seating, arrival flow, transport, hotel details and special requirements.
  • Coordinate with venues, hotels, F&B teams, AV teams, production vendors, security, photographers and support staff.
  • Ensure event collaterals, signage, table cards, menus, badges, gifts and printed materials are ready before the event.
  • Be present during events to manage on-ground execution, vendor coordination, guest flow and last-minute problem solving.
  • Support post-event closure including invoice collection, vendor closure, photos, feedback, thank-you notes and learnings.

2. Vendor Management

  • Identify, coordinate and manage vendors across events, gifting, printing, design production, logistics, photography, videography, hospitality and travel.
  • Maintain a vendor database with contact details, scope, pricing, quality feedback, payment status and past engagement notes.
  • Take quotations, compare options, negotiate basic commercials and present shortlisted options to the team.
  • Ensure vendors receive clear briefs, timelines, specifications and delivery expectations.
  • Track vendor deliverables and ensure all commitments are completed on time.
  • Coordinate with finance for invoices, purchase orders, payment follow-ups and vendor closure.

3. Collaterals & Material Coordination

  • Coordinate creation and delivery of all Griffin event and member collaterals.
  • Work with the design team to ensure invites, agendas, speaker cards, room branding, table cards, gifting notes, welcome letters and other assets are created on time.
  • Manage printing, proofing, packaging, dispatch and on-ground placement of all physical collaterals.
  • Ensure all materials are aligned with Griffin’s premium visual and experience standards.
  • Maintain inventory of reusable Griffin assets such as branding materials, gifting items, stationery, packaging and event supplies.

4. Member & Guest Operations

  • Maintain clean member and guest lists for each Griffin format.
  • Support member onboarding operations including forms, data collection, welcome materials, coordination calls and internal handover.
  • Track member preferences including dietary needs, city, travel details, assistant details, gifting preferences and special notes.
  • Coordinate with members’ teams / EAs where required for travel, arrival, RSVP and schedule alignment.
  • Ensure all member-facing operational communication is accurate, timely and polished.
  • Support birthday, milestone, renewal, gifting and member ritual operations.

5. Internal Systems, Trackers & SOPs

  • Maintain Griffin’s internal operating trackers across events, vendors, gifting, member data, collaterals and logistics.
  • Ensure all P0 / P1 operational tasks have clear owners, deadlines and status.
  • Keep event folders, vendor files, invoices, briefs and final assets organised.
  • Help create and improve SOPs for salons, retreats, delegations, gifting, inventory, vendor management and event closure.
  • Maintain post-event checklists and ensure learnings are captured for future use.

6. Gifting & Experience Support

  • Support Griffin’s gifting and collectibles operations across onboarding, renewals, retreats, salons and special member moments.
  • Coordinate with gifting vendors, packaging partners, courier partners and member teams.
  • Track inventory, dispatch status, delivery confirmation and recipient details.
  • Ensure gifting feels premium, personal and well-timed.
  • Support special experience moments where gifting, hospitality and member recognition intersect.

7. Cross-Functional Coordination

  • Work closely with Griffin leadership, Founder’s Office, design, content, partnerships, finance and external vendors.
  • Follow up across teams to ensure deadlines are met.
  • Flag blockers early and propose solutions instead of waiting for instructions.
  • Convert ambiguous asks into clear next steps, checklists and owners.
  • Support ad hoc Griffin priorities where operational ownership is required.

Professional Traits

  • 1–4 years of experience in operations, events, founder office, hospitality, premium experiences, community operations, startup operations or vendor management.
  • Strong ability to manage multiple moving pieces at the same time.
  • Comfortable with Google Sheets, Docs, Slides and basic project management tools.
  • Strong written and verbal communication skills.
  • Ability to coordinate with senior stakeholders, founders’ offices, vendors and internal teams.
  • Experience with premium events, hospitality, conferences, private dinners or luxury experiences is preferred.
  • Ability to work on tight timelines, including occasional evenings / weekends around major Griffin events.
  • Strong documentation and file management habits.
  • Ability to travel for Griffin events, retreats and delegations when required.
  • Bonus: experience working in a startup, media company, private members’ club, hospitality brand, event agency or founder-facing ecosystem.
