Job Description

A Front Office Executive serves as the face of an organization, greeting clients and visitors with professionalism and warmth. This role requires an individual who excels in customer service and is able to manage multiple tasks efficiently. As a critical point of contact for both internal and external stakeholders, the Front Office Executive is responsible for ensuring that daily operations run smoothly within the front office environment. Responsibilities

  • Greet clients and visitors with a welcoming and professional demeanor.
  • Manage and direct incoming phone calls to appropriate departments or individuals.
  • Maintain the reception area in an organized and clean manner.
  • Assist in scheduling appointments and meetings for staff or management.
  • Coordinate with housekeeping and maintenance to ensure office cleanliness.
  • Handle queries and provide accurate information about the organization to visitors.
  • Manage incoming and outgoing mail, deliveries, and courier services efficiently.
  • Ensure visitor records are accurately maintained and updated regularly.
  • Support administrative tasks, such as filing, photocopying, and data entry work.
  • Collaborate with security personnel to maintain safety and security protocols.
  • Assist in preparing and distributing internal and external communications as needed.
  • Coordinate with departments to facilitate smooth communication within the organization.

Requirements

  • High school diploma or equivalent; a relevant degree is advantageous.
  • Prior experience in a front office or customer service role is preferred.
  • Proficiency in Microsoft Office Suite and office management software.
  • Excellent communication skills, both verbal and written, are essential.
  • Ability to manage multiple tasks and meet deadlines efficiently.
  • Strong attention to detail and organizational skills are required.
  • A professional appearance and a positive attitude are necessary at all times.
