Job Description

The Front Office Executive plays a crucial role in maintaining the efficient operation of a front desk and is often the first point of contact for clients and visitors. This position requires an individual who is professional, organized, and possesses excellent communication skills. The Front Office Executive is responsible for providing exceptional customer service and support, both in person and over the phone. This role involves managing bookings, handling inquiries, and coordinating with different departments to ensure seamless operations. The ideal candidate will be proactive, able to multitask, and capable of working in a fast-paced environment. Additionally, they should possess strong problem-solving skills to address any issues that may arise promptly.


Responsibilities

  • Greet and welcome guests promptly as they enter the office premises.
  • Answer, screen, and forward incoming phone calls in a polite manner.
  • Maintain the reception area's cleanliness and ensure it is tidy and organized.
  • Coordinate appointments and meetings, ensuring no scheduling conflicts occur.
  • Assist with administrative tasks, such as data entry and filing documents.
  • Provide accurate information to clients and visitors regarding offered services.
  • Handle and distribute mail, packages, and deliveries efficiently.
  • Coordinate with other departments to ensure smooth office operations.
  • Address and resolve any guest complaints in a courteous and timely manner.
  • Monitor office supplies and place orders when necessary to avoid shortages.
  • Support the team with various projects and administrative duties as needed.

Requirements

  • High school diploma or equivalent; additional education is an advantage.
  • Proven experience as a Front Office Executive or similar role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational and multitasking abilities in a fast-paced environment.
  • Customer service experience with a focus on handling inquiries and complaints.
  • Ability to work independently as well as part of a team effectively.
