Responsibilities

  • Greet visitors promptly with a friendly and welcoming attitude.
  • Manage incoming calls, emails, and messages efficiently and professionally.
  • Maintain a tidy and organized reception area at all times.
  • Provide accurate information to clients and direct them appropriately.
  • Schedule and confirm appointments, meetings, and reservations as needed.
  • Assist in administrative tasks such as data entry and filing documents.
  • Monitor office supplies and place orders to ensure inventory is maintained.
  • Coordinate with internal teams to ensure efficient office operations.
  • Ensure that security procedures are adhered to, including visitor log management.
  • Address and resolve basic inquiries or direct them to the appropriate personnel.
  • Assist in handling customer complaints and service recovery if necessary.
  • Update and maintain records of office activities and visitor information.

Requirements

  • Proven experience as a front desk representative or relevant position.
  • Excellent verbal and written communication skills required.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Strong organizational skills with the ability to multitask effectively.
  • Excellent customer service skills with a professional appearance and demeanor.
  • Ability to handle sensitive information with confidentiality and discretion.
  • High school diploma required; additional certifications are a plus.
