Job Description

The role of an Executive Assistant to the CEO is pivotal in ensuring the smooth operation of the executive office. This professional is responsible for providing high-level administrative support to the CEO, facilitating communication and coordinating day-to-day tasks. The Executive Assistant acts as a reliable point of contact, representing the CEO in various settings, managing schedules, and ensuring that all executive obligations are met promptly and efficiently. This position requires someone who is highly organized, detail-oriented, and capable of handling sensitive information with discretion. As the right hand to the CEO, the Executive Assistant must be adaptable, proactive, and skilled in problem-solving to support both strategic and operational objectives of the executive team.


Responsibilities

  • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients.
  • Prepare internal and external corporate documents for team members and industry partners.
  • Schedule meetings and appointments, and manage travel itineraries for the CEO.
  • Arrange corporate events to take place outside of the workplace, such as fund-raising events, staff appreciation events, and special projects.
  • Maintain an organized filing system of paper and electronic documents for streamlined information access.
  • Uphold a strict level of confidentiality regarding company records and executive operations.
  • Develop and sustain a level of professionalism among staff and clientele.
  • Maintain and manage the CEO's contacts and keep communication records up to date.
  • Assist in the preparation of presentation materials and reports for executive distribution.
  • Conduct research and provide insights to aid in strategic decision-making by executives.
  • Oversee the execution of special projects as assigned by the CEO or executive team.

Requirements

  • Bachelor’s degree in Business Administration, or a related field preferred.
  • Proven experience working as an executive assistant or in a similar role.
  • Exceptional organizational and time-management skills to manage busy executive schedules.
  • Strong written and verbal communication abilities are essential for this role.
  • Ability to assimilate complex data and information quickly and accurately.
  • Proficiency in Microsoft Office Suite and familiarity with other standard office tools.
  • Discretion and confidentiality in dealing with sensitive business information.
  • Professional and reliable demeanor with the ability to work independently and in a team.
  • Flexibility in adapting to changes in schedule and responsibilities.
  • Excellent interpersonal skills to effectively coordinate with diverse teams and stakeholders.
