Job Description

The Executive Assistant to the CEO serves as a vital communication bridge and supports the CEO in a multitude of tasks. This role requires an individual who is highly organized, detail-oriented, and able to work independently in a fast-paced environment. The Executive Assistant will manage a broad spectrum of executive duties and confidential matters with professionalism and discretion. Responsibilities include managing schedules, coordinating meetings, and handling information requests. Additionally, the Assistant will play a critical role in facilitating effective communications with senior management, stakeholders, and external partners, thus contributing to the overall efficiency and success of the organization. Being proactive and demonstrating initiative will be key in this influential position, as the Executive Assistant will often anticipate the needs of the CEO and act accordingly to ensure operations run smoothly.


Responsibilities

  • Manage and maintain the CEO’s calendar, including scheduling meetings and appointments.
  • Coordinate and arrange meetings, including preparing agendas and meeting materials.
  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Prepare and distribute correspondence, memos, and other communication on behalf of the CEO.
  • Handle and prioritize all outgoing and incoming communications for the CEO.
  • Assist the CEO with daily administrative duties and complete a wide variety of tasks.
  • Ensure the CEO is equipped with relevant information and support before meetings.
  • Conduct research and compile data to prepare documents for review by executives.
  • Oversee travel arrangements and itinerary management for the CEO's business trips.
  • Maintain confidential files and records, with careful attention to detail and discretion.
  • Assist with special projects and perform other duties as assigned by the CEO.
  • Develop and maintain an efficient documentation and filing system for the executive office.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Exceptional verbal and written communication skills are essential for this role.
  • Strong organizational and time-management skills with a detail-oriented approach.
  • Ability to work under pressure and handle confidential information discreetly.
  • Proficiency in office software (MS Office suite) and familiarity with office gadgets.
  • Demonstrated ability to manage multiple priorities in a fast-paced environment.
  • Professional demeanor with the ability to interface effectively with senior management.
