Job Description

An Executive Assistant to the CEO plays a crucial role in the seamless functioning of an organization by providing high-level administrative support to the Chief Executive Officer. This position requires a compassionate and professional individual who can handle the dynamic and fast-paced nature of executive-level tasks. The Executive Assistant to the CEO not only manages the CEO's calendar and communications but also serves as a liaison between the CEO and other departments, stakeholders, or external partners. The ideal candidate will possess exceptional organizational skills, exhibit discretion and confidentiality, and have the ability to anticipate the needs of the CEO. Ultimately, the Executive Assistant fosters an environment that allows the CEO to effectively lead the organization while ensuring clear communication and the efficient handling of administrative matters.


Responsibilities

  • Maintain and manage the CEO's complex calendar, appointments, and meetings.
  • Coordinate and arrange travel itineraries, accommodations, and necessary travel documentation.
  • Draft, review, and send communications on behalf of the CEO with clarity and precision.
  • Screen and direct incoming calls and emails to ensure efficient communication.
  • Prepare meeting materials, presentations, and executive summaries for the CEO.
  • Conduct research and provide reports to support strategic decision-making by the CEO.
  • Act as the primary liaison between the CEO and internal and external stakeholders.
  • Oversee the management of special projects as directed by the CEO.
  • Ensure confidentiality and discretion regarding sensitive and high-level company matters.
  • Prioritize tasks to ensure the CEO's workflow is smooth and uninterrupted.
  • Assist in preparing and managing the executive office budget and expenses.
  • Organize and take minutes during executive meetings to ensure follow-up on decisions.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Proven experience as an executive assistant or in a similar administrative role.
  • Excellent organizational and multitasking skills for effective task management.
  • Strong written and verbal communication skills for diverse interactions.
  • High level of proficiency in MS Office and calendaring software applications.
  • Exceptional ability to handle confidential information with integrity and discretion.
  • Ability to work independently and possess a proactive approach to problem-solving.
