Job Description

An Admin Executive in the Administration department plays a crucial role in ensuring the smooth functioning of an organization. This position is responsible for executing administrative tasks, managing correspondence, and ensuring that the office operates efficiently. With a focus on organizational support, the Admin Executive assists in planning and coordination of administrative procedures and systems and devises ways to streamline processes. This role requires a keen eye for detail, excellent communication skills, and the ability to multitask. The Admin Executive often acts as the first point of contact for internal and external stakeholders, requiring a professional demeanor and a proactive approach to resolving issues.


Responsibilities

  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Develop and maintain a filing system for company documentation and records.
  • Assist in the planning and execution of office events and meetings.
  • Manage phone calls and correspondence, including emails, letters, and packages.
  • Oversee the maintenance of office supplies and place orders when necessary.
  • Ensure prompt and accurate customer service, addressing inquiries and concerns proficiently.
  • Support budgeting and bookkeeping procedures, maintaining financial records with integrity.
  • Prepare reports, presentations, and briefs to facilitate office decision-making processes.
  • Assist executives in scheduling and organizing calendars, appointments, and meetings.
  • Collaborate with human resources to maintain employee databases and records.
  • Implement new procedures and administrative systems to optimize office operations.
  • Provide general support to visitors and act as the point of contact among executives, employees, and clients.

Requirements

  • Bachelor’s degree in Business Administration or a related field is preferred.
  • Proven experience as an administrative officer, executive, or relevant role.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication abilities are essential.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) is required.
  • Experience with office management software, such as ERP or CRM, is a plus.
  • High level of professionalism, confidentiality, and ethical conduct in all actions.
