Job Description

The Admin Executive is a pivotal role in the administration sector, responsible for ensuring smooth and efficient operations across the organization. This position demands a high level of organizational skills, attention to detail, and the ability to manage multiple administrative functions seamlessly. The Admin Executive will act as the backbone of the company’s administration, working closely with various departments to provide administrative support, maintain official records, and ensure compliance with established procedures. As an integral part of the administrative team, this role requires an individual who can anticipate needs, prioritize tasks, and deliver results in a fast-paced environment. The successful candidate will have excellent communication skills, strong problem-solving capabilities, and the ability to work collaboratively with diverse teams.


Responsibilities

  • Manage and coordinate daily administrative tasks to support organizational operations efficiently.
  • Maintain and update all administrative systems, including filing and record-keeping systems.
  • Coordinate with various departments to ensure effective and timely communication of information.
  • Plan and organize meetings, appointments, and events for management and staff.
  • Assist in the preparation of reports, presentations, and data analysis as needed.
  • Handle correspondence including emails, letters, packages, and phone calls professionally.
  • Oversee office supply inventory, order replacements, and manage vendor relationships.
  • Ensure compliance with company and regulatory standards in all administrative processes.
  • Support in the onboarding of new employees and manage employee records accurately.
  • Manage and process expense reports, vendor invoices, and petty cash flow diligently.
  • Facilitate communication between management and employees through timely dissemination of information.
  • Monitor and address general office maintenance issues for a well-functioning workspace.

Requirements

  • Bachelor’s degree in Business Administration or related field is required.
  • At least three years of experience in an administrative or executive support role.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Excellent communication and interpersonal skills for effective interaction.
  • Ability to handle sensitive information with high level of confidentiality and discretion.
  • Demonstrated problem-solving skills and a proactive approach to tasks.
