Role Overview:

Ensure robust data management, financial reporting, and compliance support for all facility and administrative functions at The Client at Powai in line with Master Service Agreement requirements. Provide comprehensive MIS, accounting, and documentation support to facility and engineering management teams while maintaining audit-ready records and timely vendor payment processing.

Key Responsibilities:

  • Maintain and monitor FM systems, ERP platforms, and reporting tools, ensuring data accuracy, user access, and regular backups
  • Generate daily, weekly, and monthly MIS, operational, and compliance reports for management and client stakeholders
  • Collect, validate, and analyze business, financial, and vendor performance data with focus on accuracy and completeness
  • Maintain detailed audit-ready documentation and historical data for statutory compliance and regulatory requirements
  • Check, verify, and authenticate all vendor invoices based on regulatory standards, contract terms, and service delivery validation
  • Work closely with The Client at Powai Accounts Payable Team to ensure timely receipt of payments and invoice processing within cut-off dates
  • Receive and hand over crucial compliance certificates and statutory documents to respective vendors as required
  • Support office administration including helpdesk logs, vendor lists, attendance records, and asset documentation
  • Assist with event and meeting reporting, coordination support, and administrative documentation
  • Prepare templates and dashboards for tracking budgets, actual costs, service KPIs, and operational metrics
  • Create cost sheets, support annual budget preparation, and compile data for quarterly business reviews
  • Manage monthly financial reports, outsourcing summaries, and management reports for submission to facilities manager
  • Support audit preparations by organizing documentation and responding to requests from internal and external audit teams
  • Perform account reconciliation, prepare financial summaries, and support cash flow statement documentation
  • Identify opportunities to automate routine administrative and reporting processes for improved efficiency
  • Help roll out digital workflows, reporting tools, and process improvements across facility operations
  • Provide basic user training and technical support on data management and reporting systems to team members
  • Ensure confidentiality and strict compliance with all data policies, information security protocols, and privacy standards
  • Handle other reports and ad hoc analysis as required by facility management and client teams
  • Work in rotational shifts as needed to support 24/7 facility operations and reporting requirements

Qualifications:

  • Bachelor's degree in Commerce, Business Administration, Information Systems, Accounting, Finance, or related field
  • 2-4 years of experience in MIS, reporting, facilities administration, accounts, or finance functions
  • Solid background in reporting procedures, account reconciliation, and financial documentation
  • Strong MS Office skills with advanced proficiency in Excel for data analysis, pivot tables, and dashboard creation
  • Experience with ERP systems, FM platforms, or computerized maintenance management systems (CMMS) preferred
  • Excellent data management skills with focus on accuracy, validation, and audit compliance
  • Strong analytical abilities to interpret data, identify trends, and prepare meaningful insights
  • Highly organized with ability to manage multiple reporting deadlines and documentation requirements simultaneously
  • Excellent written and verbal communication skills for professional interaction with management and vendors
  • Strong teamwork and collaboration abilities to support cross-functional facility operations
  • Attention to detail with commitment to maintaining accurate records and error-free financial documentation
  • Understanding of invoice processing, payment cycles, and vendor management workflows
  • Ability to work independently while meeting and exceeding team expectations
  • Proactive mindset to identify process improvements and automation opportunities
  • Flexibility to adapt to changing priorities and work rotational shifts as required
