Job Summary

Provides advanced executive assistant and administrative support to the Vice President of EPD India and the EPD Division. Provides support to other function and office based leaders in managing the functions and responsibility of VP’s office as may be needed. Supports the processes and practices of the organisation as may be needed in EPD India region.

Core Job Responsibilities

    • Responsibilities include all administrative functions of the department : responding to requirements, phones calls, queries and calendar management, scheduling travel, managing correspondence and scheduling couriers, processing expense reports, meeting/event planning, creating or modifying business documents, collating / compiling presentations, handling teleconference etc.
    • May include some project management and support for tracking budget expenditures.
    • Coordinates and maintains departmental files, as assigned, in compliance with corporate and local requirements, coordinates with Area and corporate as required.
    • Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable). Orders business cards and stationery.
    • Uses and understands Microsoft Office Suite and other business-specific software, including the Corporate Travel Web site, and employee performance management systems (as applicable).
    • Coordinates new employee office set-ups and on boarding. Supports 3rd Party Contractor Management including expenses, onboarding, coordination with 3rd Party Admin team.
    • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
    • Support VP EPD India with any other responsibility as may be assigned by the management.

Bachelor’s Degree

Minimum Work Experience

Prior experience and Degree in Secretarial function preferred.

5+ years previous admin experience or equivalent.

  • Consistently handles confidential or business-sensitive information. Data is typically organizational or multi-dimensional.
  • Maintains and manages calendar, including meeting and travel scheduling and domestic and international travel arrangements.
  • Proactively identifies and resolves scheduling conflicts.
  • Primary point of contact for manager’s schedule.
