Job Description

The Front Desk Receptionist is a critical role within any organization, as they are often the first point of contact for clients, visitors, and employees. This role requires a professional and friendly demeanor, the ability to multitask efficiently, and excellent communication skills. As a Front Desk Receptionist, you will be responsible for managing phone lines, greeting visitors, and performing a range of administrative tasks that ensure the smooth operation of the front office. You will represent the face of the organization and thus play a vital role in forming the first impression for anyone who interacts with the company.


Responsibilities

  • Greet and welcome visitors with a friendly and professional attitude.
  • Answer, screen, and forward incoming phone calls promptly and professionally.
  • Respond to inquiries and provide accurate information to clients and visitors.
  • Schedule appointments and maintain calendars for conference rooms and facilities.
  • Maintain the security of the lobby by managing visitor logs and access badges.
  • Handle incoming and outgoing correspondence and distribute them accordingly.
  • Assist with administrative tasks such as filing, data entry, and record keeping.
  • Coordinate with different departments to direct calls and inquiries appropriately.
  • Update and maintain office contact lists, directories, and seating charts.
  • Monitor and maintain the appearance of the lobby and reception area.
  • Ensure the front desk office supplies are stocked and requisitioned as needed.
  • Support event coordination and assist in preparing meeting rooms.

Requirements

  • High school diploma or equivalent; additional education is a plus.
  • Proven experience as a receptionist, front desk representative, or similar role.
  • Proficient in Microsoft Office suite and basic office equipment operations.
  • Excellent verbal and written communication skills are essential.
  • Strong ability to manage multiple tasks efficiently in a fast-paced environment.
  • Exceptional customer service skills and professional appearance required.
  • Ability to handle sensitive and confidential information with integrity.
