Running a studio like this needs an office that works quietly and reliably in the background, so creative and production teams never have to think about it.
About the Role
This role owns everything that keeps the Creator Engine office running: pantry, supplies, travel bookings, vendor relationships, asset tracking, and every day-to-day problem that shows up somewhere between an AC repair and an expense report. It isn't a support role in the sense of waiting for instructions. It's ownership. You're expected to catch issues before they turn into complaints, keep a panel of vendors you can call without hesitation, track spend without being asked, and think a step ahead of where the office needs to be as the team grows.
What You'll Own
Pantry, supplies, and general office upkeep, tracked and reordered before anything runs out
Vendor management end to end: sourcing, negotiating, reviewing performance, and keeping a backup for every category so nothing depends on one person
Budget and expense tracking for all office spend, with early flags if anything's trending over
Asset management: furniture, equipment, AMCs, warranties, and what needs replacing or renewing
Compliance and safety basics: fire safety, first aid, licence renewals, and anything needing a periodic check, along with staying on top of any other organisational compliance requirements that apply to the office
Fixing office problems fast, AC, electrical, internet, using existing vendor relationships rather than starting a search from scratch
Overseeing housekeeping staff and vendors, checking their work is actually done, not just marked as done
Coordinating basic upkeep of office systems and IT equipment, working with the IT vendor or team to get issues resolved
Spotting inefficient processes and fixing them, not just maintaining what already exists
Planning ahead for scale: what the current setup won't hold up under as headcount grows

What You Bring
5-7 years of experience managing office operations, admin, or facilities, ideally somewhere with real process and tracking discipline
A working vendor network across categories like travel, maintenance, and supplies, or the ability to build one fast
Comfort with budgets and basic expense tracking
A working sense of what a compliant, safe office actually requires
Credentials matter less here than the habit of staying ahead of problems and taking ownership without being asked
