Title: Admin Assistant

Global Practice:Transmission & Distribution (T&D)

This role will be responsible for managing routine administrative tasks, coordinating schedules, supporting documentation, and enabling the efficient functioning of the team. The individual will act as a key support resource, working closely with the Division Management Support Team to enhance our GP team efficiency and ensure seamless business operations.

Roles & Responsibilities

Provide administrative support to Global Practice and assist the Division Management Support Team in day-to-day activities to ensure efficient operations

Support Managers with routine administrative requirements

Prepare, format, and manage correspondence, documents, reports, and presentations

Schedule meetings and coordinate logistics including meeting rooms, materials, and catering

Coordinate travel arrangements in collaboration with the Admin team

Assist in organizing team events, meetings, engagement activities, and project celebrations

Coordinate tokens of appreciation such as project gifts and departmental souvenirs

Coordinate and track key training schedules

Collaborate with internal teams to plan and execute visits by international colleagues

Maintain records, trackers, and documentation with accuracy

Input and update data in databases and spreadsheets

Manage digital filing systems and ensure proper documentation control

Support internal communication and follow up on action items

Coordinate with cross-functional teams for administrative requirements

Maintain confidentiality and handle sensitive information with professionalism

Qualifications

Qualifications:

ØBachelor’s degree (Preferably Commerce)

ØMinimum 7-10 years in a

Similar Role Of Administrative Experience

A specialized administrative course will provide an edge

Key Skills

ØStrong interpersonal and communication skills in English (verbal & written)

ØProficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)

ØExceptional organizational and administrative skills

ØTime management and ability to prioritize tasks effectively

ØAttention to detail and accuracy

ØAbility to multitask and work in a fast-paced environment

ØProblem-solving mindset and proactive approach

ØProfessionalism and ability to handle confidential information
