Facilities Coordinator

Through collaboration, creativity, and attention to detail, we are passionate about bringing imagination to life through high-end visual effects.For over a decade, our talented artists have been creating larger-than-life visual effects for film and television. Our team brings together rich and diverse experience from Montreal, Toronto, Bogotá, Saguenay, and now Mumbai.

We are currently looking for a dynamic Facilities Coordinator to join our busy VFX Studio in Mumbai.

Key Responsibilities

• Maintain agreements, documents, forms, and administrative records.
• Provide administrative support to departments and managers.
• Update MIS and maintain procedure manuals.Manage stationery, office supplies, and inventory.
• Ensure a clean, organized, and professional office environment.
• Coordinate employee travel arrangements.
• Monitor administrative costs and maintain quality standards.
• Conduct regular inspections of HVAC, electrical, plumbing, and other office infrastructure.
• Coordinate repairs and preventive maintenance activities.
• Work with internal teams and vendors to ensure smooth facility operations.
• Oversee housekeeping, pantry, cafeteria, waste management, and pest control services.
• Supervise front office operations, visitor management, and events.
• Coordinate access cards, security protocols, and safety audits.
• Maintain facility logs, vendor bills, and operational reports.
• Coordinate with vendors and service providers.
• Monitor vendor performance and ensure compliance with service standards.

• Graduate or Diploma in Administration, Facility Management, or a related field.
• Basic knowledge of MS Office, including Excel and Word.
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
• Quality-focused with attention to detail.
• Ability to work effectively as a team player.
