Purpose Of The Position

  • Employee Transportation (Maintaining Bus in time, route optimization/ route checking, Drivers Training, quarterly audit, 5S Audit)
  • Canteen and Kitchen Management, Complete Food & Beverage management
  • Housekeeping management, pest control management, Gardening management
  • Housing management, Travel and Event management
  • Company Car management (Repairs, Maintenance, Insurance renewal and MIS of car)
  • Petro Card Management (Allocation, monthly payments & Reconciliation)
  • Scraping process of registered cars, New Trade certificate/ renewal cancellation process
  • Coordination with RTO for necessary submissions of documents & updating of data on
  • VAHAAN for registration of Company Cars, RTO refunds of sold/ scrap cars
  • Driver Management (scheduling weekly duties, monitoring timely wage payments and compliances manpower wage structure)
  • Employee/ foreign delegates/ Top management business travel to arrange pool cars booking 11. To ensure timely vendor payment Keeping data for EMS, QMS ISO audit
  • Improvement in system & policies, Coordination, Planning & Execution of General Administration like, Stationery, Contractual Manpower.

Authority

  • Checking of bills on monthly basis of all vendors related to administrative function
  • Coordination with drivers for company car related activities & regular operations, Coordination with cross functional departments for allocation of company car.
  • Responsible for Kitchen & Canteen Hygiene, Finalizing Canteen Monthly Menu, Decisions related to Facility Management.
  • Allocate of Facility Manpower, Housing rooms Allocation, Supervise & Maintain entire Housing Administrative & Refurbishment issues, Approving Monthly vendor Services Invoice.
  • Responsible for Maintaining Bus, route optimization/checking, quarterly audits.

Key Responsibilities & Tasks

Company Car Administration:

  • Monitoring usage of allocated company cars as per entitlement & Policy
  • Coordination for repairs & maintenance of Company cars with dealership & in-house
  • Service quality team
  • Petro card management for Pool car / FSE / Employee is allocation, reloading as per the entitlement
  • Tracking of Petro Card Recharge system allocated to employees
  • Co-ordination with RTO officials for necessary registration process of company cars and Trade certificate renewal
  • Driver management on assigning duties, training & monitoring accident of unethical acts
  • Company owned Ambulance fitness, repair and maintenance and sold/ scrap cars RTO OTT refund

Bus Transportation

  • Ensure Smooth Bus Operations to delayed avoid production loss
  • Deployment of additional buses as and when required in cause of breakdown
  • Planning and deployment of Pool Cars for group Employees/ guests/ visitors @ CSN and Gurgaon office
  • To provide support for hiring of taxis & Tempo Travelers as and when required by various departments
  • Inspection & training of employee transportation buses in terms of safety and cleanliness
  • Ensuring all administrativesupport related to events, pool cars drivers etc.

Food & Beverage Management

  • Contract Finalization, Grievance Redressal with support of IR, Services Disruption, Crisis management,
  • Ensure Safe & Hygiene conditions at the canteen & maintain inventory of equipment’s & infrastructures periodically.
  • Managing F&B operations of Central Kitchen, 3 Dining halls & 4 Pantries, Planning & finalizing weekly menu with canteen committee, R&M of kitchen equipment’s.

Guest House Management.

  • Entire Administration of Housing, Coordinate all VIP Visits, Parties & Training programs at Housing.
  • R&M, refurbishment and new projects.
  • AMC, vendor management, Invoicing and timely payment to vendors.
  • Budget planning and keeping a record of personal stay.

Event Management

  • Support function for Company level events in terms of Administration, Logistics, and Coordination with agency, managing components like documentation, transit issues, driver, fleet, transportation etc.

Travel Desk

  • Centralized Travel Coordination.
  • Manage policy compliance
  • Travel data and reporting.
  • Address and resolve employee queries.

Housekeeping Facility & Pest Control Management

  • Upkeep and Hygiene of the facilities all offices, washrooms, dining halls , meeting rooms, shop floors.
  • Upkeep of equipment and maintenance activities, deep cleaning, restocking of supplies.
  • Monitoring services for Customer Satisfaction.
  • Keeping all plant premises pest free.

Garden Management

  • Upkeep of equipment and maintenance, tracking of services
  • Upkeep of Garden & Landscaping throughout the year.
  • New Tree plantation, vendor invoicing, compliance and timely payments.

General Administration –

  • Stationery, Courier, Cafeteria, AMC of Coffee Machine, Visiting Cards, Packed Drinking Water, Supply of material: Tea Powder, Coffee Powder, Paper Cups & Paper Glasses,
  • Dussera Diwali sweet planning and distribution.
  • SC, GRN management for People Services.

Departmental Compliance Audits

  • Study & Implementing Energy Saving Program (as ENMS Internal Auditor).
  • Managing and ensuring clearance of ISO 45001 OHSMS Audits (Internal/External)
  • Managing and ensuring clearance of EMS , ECMS and ENMS Audits (Internal/External)
  • Managing and ensuring clearance of FSMS, QMS Audits (Internal/external
