We are looking for a Project Coordinator to support delivery across our Service and Product teams. You will work directly with the Product Team Lead on client projects spanning TutAR IFP (Android) and TutAR XR (Unity).
This is a coordination and documentation role across client delivery and product. You will turn client conversations into clear written requirements, convert them into tickets on the Scrum Board, keep every project document current, and make sure every decision made in a meeting is recorded and followed through. You will work alongside the Product Team Lead, who has the final say on scope, commercials and technical decisions; your job is to make sure those decisions are captured, communicated to the right people and delivered.
The ideal candidate writes clearly, follows up relentlessly, and is comfortable asking a developer three times for an update.
Key Responsibilities
Documentation
Own and maintain the Service and Product documentation set — requirement specs, SOP documents, release notes and delivery handover packs.
Keep the product feature catalogue and client intake forms current.
Requirements
Attend every client call, capture the requirement in writing, and get it approved by the Product Team Lead before it reaches the development team.
Convert approved requirements into Jira tickets with clear acceptance criteria.
Maintain the change-request log — what was asked, what was agreed, what was dropped, and when.
Process and Tracking
Facilitate daily stand-up and sprint planning — run the board, capture the notes, circulate the summary.
Track blockers daily and escalate them to the Product Team Lead the same day.
Keep the Scrum Board clean — every ticket has an owner, a status and a date.
Verify SOP stage gates are completed before any release ships.
Product
Keep the product backlog on the Scrum Board — log feature requests and bugs from clients and internal teams, and keep priorities current with the Product Team Lead.
Prepare release notes and update the product feature catalogue for every release.
Track product roadmap milestones and flag slippage to the Product Team Lead early.
Coordinate internal product demos and collect feedback from Sales and Customer Success.
Client Coordination
Send a weekly status report to each client in a fixed format.
Schedule and minute all client meetings; circulate action items with owners and dates.
Coordinate UAT, collect written sign-off, and track reported defects to closure.
Support the client relationship day to day — commercials, scope changes and escalations remain with the Product Team Lead and the CBO.
Priority Deliverables After Joining
Month 1
Audit and index all existing project documentation; publish a single document map.
Take over meeting minutes and action-item tracking for all internal and client meetings.
Month 2
Run the weekly sprint board end to end, with a published blocker log.
Publish the first weekly client status report for every active project.
Month 3
Produce a complete requirement-to-delivery document pack for one project.
Own UAT coordination and sign-off collection for one client delivery.
KPI / Success Metrics
100% of client calls have a written requirement document within 24 hours.
100% of meetings have circulated minutes with owners and dates within 24 hours.
Weekly status report delivered to every active client, no misses.
Scrum Board: zero tickets without an owner, status or due date at the end of each week.
Every release has release notes and a completed SOP stage-gate checklist before ship.
UAT sign-off collected in writing for every delivery.
Requirements
Required Qualifications
Bachelors degree in any discipline.
1+ year of experience in project coordination, project management support, business analysis, or operations — any industry, any company size.
Must-Have Skills
Strong written English — able to turn a messy conversation into a clear, structured document.
Proficiency in spoken English.
Must know Jira — we run all projects on Jira Scrum Boards.
Comfortable with Google Workspace — Docs, Sheets, Drive.
Able to run a meeting agenda and produce usable minutes.
Follow-up discipline — chases people without being asked twice.
Comfortable working with developers and asking clarifying questions.
Solid working understanding of software development — how apps are built, common stacks (Android, Unity, web, APIs), builds, releases and environments — enough to hold clear conversations with developers and clients.
Strong Plus Skills
Experience writing requirement documents or BRDs.
Exposure to Scrum ceremonies in a previous role.
Experience coordinating UAT or client sign-off.
Experience in a software product or services company.
Nice to Have
Exposure to the education technology sector.
Familiarity with Confluence or similar documentation tools.
Ability to speak Hindi.
Additional Requirements
Clear and professional spoken communication with clients.
High ownership of small details — dates, names, versions, numbers.
Ability to work in a fast-moving startup environment with changing priorities.
Willingness to learn the product deeply enough to document it accurately.
