Job Description

The Payments Transaction Services Team Leader supports the daily operations and local staff for the various payment platforms ensuring efficient and accurate processing of charitable donations, grants, and volunteer activities, remittances as well as transaction exceptions. This role combines hands-on processing responsibilities with local team leadership, performance management, and process improvement initiatives.

What You Will Do

Team Leadership and Management

  • Supervise and mentor a team of 5-10 Processing Analysts
  • Assign/distribute daily workload to ensure timely completion of payment deadlines and SLA’s and monitor team productivity and quality metrics
  • Coordinate and partner with their US counterpart related to work schedules ensuring adequate coverage for transaction services activities
  • Conduct quarterly performance evaluations, coaching, and identify development opportunities as well as support team members with developing and executing on IDPs.
  • Lead team meetings and communicate policy updates, system changes, program initiatives, and payment schedules/escalations
  • Foster a collaborative and positive team culture focused on accuracy and customer service
  • Identify opportunities to streamline workflows and improve processing efficiency
  • Develop and maintain standard operating procedures and training materials
  • Onboard and train new team members on systems, processes, policies, and regulatory requirements.

Transaction Processing and Quality Oversight

  • Handle escalated cases requiring additional research or judgment
  • Perform quality assurance reviews of team members work
  • Process transactions during peak periods or staff shortages
  • Ensure adherence to processing standards and service level agreements
  • Oversee daily processing of wire transfers, ACH payments, checks, and electronic payments
  • Ensure dual control and segregation of duties are maintained
  • Monitor funding requirements and coordinate intercompany transfers
  • Ensure adherence to treasury policies, internal controls, and SOX requirements
  • Prepare management reports on processing volumes, turnaround times, and quality metrics
  • Analyze trends in program participation and provide insights to senior management
  • Prepare and present treasury metrics and KPIs to senior management
  • Support strategic treasury initiatives with data analysis and recommendations
  • Create dashboards and visualizations for treasury reporting

Reconciliation and Compliance Management

  • Ensure compliance with corporate giving program guidelines, IRS regulations, and internal controls
  • Coordinate with Finance and Accounting teams on month-end and year-end close activities
  • Implement and monitor for fraud indicators and payment security measures and escalate concerns appropriately
  • Investigate payment discrepancies and implement corrective actions
  • Maintain current knowledge of payment regulations and industry best practices
  • Leverage technology to improve efficiency and reduce operational risk

What Youll Bring

  • 4-6 years of experience in payment transaction processing, operations, or related field
  • 2+ years of supervisory or team leadership experience
  • Demonstrated experience with Not-For Profit or similar corporate giving platforms
  • Strong analytical skills with proficiency in Excel (advanced formulas, pivot tables, data analysis)
  • Excellent leadership, coaching, and interpersonal skills
  • Proven ability to manage competing priorities and meet deadlines

Working Hours

  • Working hours to be negotiated but flexibility required during month-end/quarter-end close periods and as needed for team coverage
  • May require availability during banking hours for time-sensitive payment approvals
  • Remote Flex work environment (specific arrangements per company policy)
  • Occasional evening or weekend work during system implementations or critical payment windows
