The Trade & Compliance Specialist processes Move Order Requests (MORs) raised from the client's and third-party warehouses across multiple locations and ensures that every shipment's commercial and trade documentation is in place and compliant with shipping practice. The role carries the deep trade-compliance expertise behind the operation — managing customs clearance, ATA Carnets, dangerous goods, brokerage performance and emerging-markets shipping research — on a 16x5 hybrid model that combines onsite presence with remote processing.
Day to day, the specialist reviews and approves commercial invoices, manages location codes within the client's commercial-invoice tooling, resolves inbound shipments stuck at customs, and produces the monthly compliance reporting and audit tracking the service requires — all in line with the logistics & compliance handbook. The role partners with Order Management, logistics and the client's compliance point of contact, escalating regulatory questions where a ruling is needed.
Key Responsibilities
Move Order Request (MOR) Processing
Manage and process Move Order Requests (MORs) and supply-chain portal requests from initial receipt through to confirmed delivery by the carrier
Review Order Form entries in the relevant order systems for correct entities, Incoterms and shipment details, and update order status for non-inventory shipments via the client's ticketing system.
Track and update fulfillment statuses for non-inventory shipments within the enterprise ticketing and order-tracking tools.
Monitor backlogs to proactively flag delayed shipments, identify transit issues early, and initiate swift corrective actions.
Trade Documentation & Compliance
Review and ensure all commercial documents connected with MORs are present and compliant with shipping practice, creating manual trade documents where needed.
Review and approve commercial invoices generated for the various order types.
Process, coordinate, and manage ATA Carnets globally to facilitate temporary cross-border movements of corporate hardware and demonstration equipment.
Draft manual trade and customs clearance documents when automated system pipelines face data errors or exceptions.
Conduct proactive regulatory research into shipping laws, import/export restrictions, and tax liabilities for new or expanding global delivery locations.
Customs & Dangerous Goods
Act as the primary escalation point to coordinate, troubleshoot, and resolve international inbound shipments blocked or held at global customs borders
Govern and approve the shipment of hazardous or restricted commodities (specifically lithium-ion batteries) globally, providing strict packaging, safety labeling, and carrier declaration guidance
Maintain strict database accuracy by managing location-code data and regional entity mappings within the commercial-invoice tooling.
Brokerage, Reporting & Continuous Compliance
Compile brokerage performance metrics, track transportation costs, and maintain a country-by-country compliance audit ledger to support internal audits. Maintain brokerage performance reports and manage transportation cost and performance reporting as requested.
Generate and present monthly reports — tickets and bugs resolved, average resolution and acknowledgment times, logistics-documentation updates, and the country-compliance audit tracker.
Assist the compliance manager in developing and maintaining transportation programs across regions, and provide location-code management within the client's commercial-invoice tool.
Comply with the processes, procedures and instructions set out in the logistics & compliance handbook, and identify and escalate system performance issues to the local support team.
PERFORMANCE & SERVICE LEVELS
Indicative performance targets for the role; final service levels are confirmed on engagement and measured by location per service line.
Ticket Response by Priority: respond within 1 hour for P0 (urgent/high), 3 hours for P1 (normal), and 6 hours for P2/P3/P4 (low), across all regional tickets and bugs in scope.
Assignment Accuracy: maintain correct HS codes, ECCN designations and Certificates of Origin on ≥99% of in-scope hardware shipments.
Customs Compliance: keep 100% of shipments compliant with the client's policy and customs law, evidenced through the audit tracker.
Reporting Cadence: deliver monthly performance and compliance reports on time, with the country-compliance audit tracker kept current.
TOOLS & SYSTEMS
ERP Platforms: SAP (specifically Procure-to-Pay, Materials Management, and Trade Processing modules).
Global Logistics & Order Tools: Enterprise order-management systems, global carrier booking consoles (FedEx, DHL, freight forwarders), and warehouse portal interfaces.
3–7+ years of experience in international trade, customs compliance, global logistics, or cross-border supply-chain operations.
Expert-level command of global import/export regulations, Harmonized System (HS) classifications, ECCN codes, Incoterms (DDP vs. DAP), and Importer/Exporter of Record (IOR/EOR) liabilities.
Proven experience reviewing commercial invoices and creating compliant international trade paperwork across EMEA, APAC, LATAM, and AMER regions.
Hands-on experience interpreting transport regulations for dangerous goods and hazardous cargos (specifically IATA/ADR battery compliance.
Commercial-invoice review and trade-documentation experience across multiple jurisdictions.
Clear English communication and audit-ready documentation discipline.
Preferred
Licensed customs-broker exposure or formal customs training.
Dangerous Goods (IATA / IMDG) certification.
Experience using SAP Trade/Logistics modules, international shipping portals, and automated commercial-invoice generators.
Emerging-markets trade experience and familiarity with global order-management and trade systems.
