Overview
Agent 365 in Hyderabad is growing quickly, and we’re seeking a seasoned, customer-obsessed Senior Business Administrator to support the leadership team and enable smooth day-to-day operations for the Hyderabad organization. This role is central to keeping leaders focused on priorities by managing complex calendars, coordinating across time zones, and driving operational excellence in a fast-paced environment.

Responsibilities
- Support some calendar management and maintaining rhythm of the business as needed, ensuring accuracy, timely updates, and conflict resolution aligned to team priorities.
- Organize and facilitate team events, off-sites, and logistics.
- Serve as the single point of contact for administrative tasks such as purchase orders, expense verification, and procurement of gifts or awards.
- Partner with business administrators on T&E budgets, onboarding/offboarding, and workforce planning.
- Manage headcount tracking, vendor accounts, distribution lists, and security groups.
- Ensure timely and accurate expense reconciliation in compliance with company policies.
- Maintain confidentiality of manager and group information.
- Coordinate team rhythms such as all-hands, town halls, AMAs, and technical reviews.
- Assist operations team with budgets, procurement, and vendor relationships while collaborating with local RE&F, HR, and Finance as appropriate.
- Identify and implement solutions for operational and process improvements.
- Ensure new hires are fully set up on day one, including access, hardware, and IDs.
- Maintain org charts, distribution lists, and reporting structures.
- Track and manage physical assets, procurement, and disbursement per policy and budget.
- Build strong relationships across diverse stakeholder groups and the business support community.
- Influence and embrace cross-functional and multicultural teams.
- Ensure compliance with Microsoft and team policies and procedures.
- May assist with domestic and international travel questions, planning, and itineraries as needed.
- May provide administrative support for leaders as needed (e.g., scheduling, travel, and expense support), with reduced scope when no on-site executive is present.
Qualifications
Required/Minimum Qualifications:
- 2+ years Administrative, Business Support, and/or customer service experience.
- Effective organizational and interpersonal skills are required.
- Ability to prioritize work and complete projects on time, demonstrate drive and initiative, maintain confidentiality of information.
- Proficiency with Microsoft productivity software including, but not limited to: Word, Outlook, PowerPoint, and Excel. Knowledge of internal applications such as Employee Central, HR Catalog, MSExpense2, MyOrder and MS Travel is desirable, but not required.
Other Requirements: Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings:
- Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.
Preferred Qualifications
- 3+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
- Associates/Bachelors Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
- 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
