Job Description

  • To ensure proper security of the Central Office Experience Stores of both the towers.
  • To ensure upkeep and maintenance of all stores.
  • Proper follow ups with the vendors for the receiving stocks (incl random sample checking).
  • To ensure Store operations including Receipt and issues of stocks (FIFO to be followed) to the teams as per the schedule and updating of records (WPI Tool, INWARD Register, Stock register and BIN Cards).
  • Assigning the tasks to Store executive in maintaining the documentation and randomly checking of the stocks as per records.
  • Random checks of stocks on daily/weekly basis and complete 6S audit checks by the Leads.
  • Checking of stocks with DCs and POs before receiving the stock for correctness.
  • Complete stock checking once in a month and submission of physical verification report to the Deloitte and JLL leads.
  • Maintaining minimum stock level in store for all Chemicals material & consumable material etc and information to be given to the JLL Leads.
  • Shortfall stocks if any, need to initiate the procurement action timely for procurement if the stock.
  • Carrying out of Internal transfers/movements if any.
  • Maintaining ROL, MSL and DL of all the stocks at all times.
  • Frequently notifying up with Deloitte leads and JLL leads on need based items procurement.
  • Following up with all vendor staff ie JLL vendors and Deloitte vendors for getting the quote, seeking the approvals from Deloitte leads and to ensure ARIBA POs and receipt of the stocks timely.
  • To ensure that 6S standards to be maintained at all times and NIL observations in surprise checks of the Leadership .

To ensure proper arrangements of all the items as per the usage like chemicals, consumables with proper marking of all the items.

  • To ensure timely placing the indents/requirements and fulfil the requirements for operations.
  • Obtaining the necessary quotations for adhoc requirement of items if any from the vendors and submission to the concerned for approvals.
  • Proper standards of the organization to be maintained at all times while obtaining the requirement, placing the indent, analyzing the indents, internal transfers from the other blocks within the organisations if any etc.
  • Placing of the indents for Adhoc items and seeking the approvals from the concerned timely.
  • To ensure correct IN/OUT of the stock from the main stores with proper documentation/approvals etc.
  • To ensure completion/necessary feedback of any additional work allotted .
  • Assisting Client Management in placing the adhoc indents with proper justification.

Reports & Trackers

  • Maintain day to day stock trackers of both the towers.
  • PO trackers to be updated and necessary received stock information to be shared to Deloitte leads for doing the GRN in ARIBA.
  • Submission of invoices in WPI tool and to ensure proper approvals from them till the closure of the invoice.
  • Correctness of the invoice, PO details and stocks, quantities and amount to be checked before submission in WPI tool.
  • Monthly consumption tracker to be maintained , reviewed and to be shared with JLL FMs for their visibility and report to be submitted to finance team.
  • Sharing the consumption report to the JLL leads for placing the indents once in a month.

Internal Audit

  • To ensure safe custody of the stores of all the blocks of Company.
  • To ensure proper arrangements of all the items as per the usage like chemicals, consumables with proper marking of all the items.
  • o ensure timely placing the indents/requirements and fulfil the requirements for operations.
  • Short comings/short usage of items if any to be intimated to the concerned for necessary usage.
  • Necessary stocks to be procured timely to avoid supply delay in critical situations.
  • Necessary audits / surprise checks to be carried out randomly for correct accounting / to fill up the gaps in accounting if any.
  • Necessary suggestions to be initiated to all the concerned to avoid discrepancies if any.
  • Co-ordination with higher level for getting the necessary approvals for inescapable requirement of the stock.

Procurement & Invoice Process

  • Obtaining the quotations from the vendors for requisite items. Discussion with the vendor for negotiations and tax.
  • Raising the Purchase Order request in favour of the approved vendor.
  • Liaison with the vendors for getting the indented/required stock.
  • To ensure raising of POs and processing of the invoices to the finance team for timely disbursement of the payment within the payment timelines to the MSME vendors as well.
  • Errors if any in the invoices, action to be initiated for rectification of the same.

Ensure quality of the items.

  • Controlling of purchases based on the budget allotment.
  • While carrying out the stores audit internally, we have to make sure that our sub ordinates has to be combined with all the staff for correct accounting and stream line of the procedure and process.
  • Good material management in the tools/software developed by the team.
  • Ensuring MSL(Minimum Stock Levels), ROL (Re-ordering Levels) and DL (Danger levels) of the stores at all times so as to ensure seamless operation to the organization.
  • Stock levels should not be below the levels of the MSL. To ensure that timely placement of the indents and seeking the approvals from the higher authorities as well.
  • INWARD stock register to be maintained for all the items received from the vendors with proper approvals.
  • BIN Cards (which is transparent) for each and every movement of the stocks from the main stores to the vendor staff for correct accounting.
  • Necessary entries to be made in the tool developed by the organization.
  • SPOCs to be educated on consumption and utilization of the items during the present trend so that we can facilitate our requirement should be sound.
  • To ensure to maintain at all times MSL, ROL and DL for the stock levels.
  • Necessary stocks to be obtained from the vendor with proper process and purchase orders.
  • Timelines to be followed for getting the indented stock from the vendors. Abnormalities if any, will convey to the immediate superior for getting the stock.
  • Stock levels to be updated on daily basis for correct information to the client levels.
  • Liaison with Clients and staff for timely getting the regular and adhoc stocks so as to ensure seamless operations to the organization.
  • Liaison with process excellence team for necessary guidance for further.
  • Maintenance of stores/stocks as per 6S standards and to ensure sustainability of the process.
  • Proper reporting to the immediate reporting management if any for further directions and approvals.
  • Welfare and realistic factors to be ensured for the staff on duty with us.

Additional tasks if any given by the superiors.
