About the Role

In this role, you will coordinate on-site services and resource requirements to ensure that services are maintained to the highest standard in all circumstances. You will coordinate the maintenance of facilities, buildings, and equipment, as appropriate, to ensure optimum functionality. You will identify, assess, negotiate as necessary, and resolve building maintenance and usage issues.

You will also support the Manager in overseeing daily operations, ensuring an efficient workflow, and driving team performance. This role involves coordinating with internal departments, managing vendor relationships, and contributing to strategic planning and execution.

Key Responsibilities:

• Accountable for excellent service delivery and achieving operational objectives. Responsible for the day-to-day operation of the on-site team and external vendors supporting first-line facilities, ensuring that all contracted service levels are achieved and reported periodically.
• Report on SLAs and deliver action plans to ensure that SLAs are met or exceeded. Plan site events and provide day-to-day supervision of the Catering and Janitorial teams.
• Develop a soft services improvement plan for each service.
• Oversee the day-to-day running of Site Soft Services including scheduling, cleaning, consumables procurement, housekeeping, and cafeteria services.
• Provide training and oversight on all Safety, Health and Environmental requirements and best practices.
• Vendor management: Ensure value for money is achieved through robust management of service partner and measurement of performance. Manage vendor relationships, including defining service specifications, contract renewals, and the definition of KPIs and SLAs.
• Financial management: Prepare and manage security operating budgets and reports. Ensure purchase orders are raised and validated, and approve invoices in accordance with the client’s accounting classifications.
• Conduct cost analysis, financial forecasting, and expenditure control.
• Networking: Keep abreast of industry best practices by maintaining contact with transport peers across other market sectors.
• Adopt a proactive approach and remain flexible enough to respond to ad hoc request as they arise.
• Develop policies and procedures for technical operations.
• Continually support and promote a team-working approach.
• Interact with vendor supervisors on day-to-day issues and ensure that all employee concerns are addressed.
• Provide clear and concise instructions to the soft services team.
• Train and evaluate candidates on soft service skills.
• Directly supervise direct reports.
• Carry out supervisory responsibilities in accordance with Macro’s policies and applicable labor laws.
• Develop SOPs carrying out site risk assessment.

About You

The ideal candidate will have:

• Senior-level Facilities Management experience.
• Excellent communication skills and the ability to work effectively as part of a team.
• Strong people management skills and experience in a customer-facing role.
• A flexible and positive attitude.
• Ideally, awareness of the city, seat occupancy methodology, fleet requirement calculations, etc.
• A higher-level education, with a degree in any discipline.
• Proficiency in the Microsoft Office Suite of applications and experience using Oracle.
