Job Title: Global Payroll Coordinator

About The Role

We are seeking a highly detail‑oriented Payroll Specialist to provide operational and compliance support to our Payroll Managers across the US, Europe, and India. This role is ideal for someone who excels in U.S. state tax/UI setup, jurisdiction compliance, data validation, and cross‑functional coordination. You will not own or process payroll directly; instead, you will ensure payroll managers have accurate data, correct state registrations, reconciled reports, and compliant system setups. You’ll also support payroll‑related accounting tasks and help maintain the integrity of our payroll processes globally.

Key Responsibilities

Payroll Support – U.S., Europe & India

• Provide day-to-day operational support to Payroll Managers for each region.
• Work with payroll managers and HR to ensure all data has been captured for the current payroll run (new hires, terminations, compensation changes, variable pay).
• Audit payroll reports for accuracy before final approval by Payroll Managers.
  
  

• Manage state tax and unemployment insurance (UI) account registrations and ongoing maintenance.
• Set up new jurisdictions in payroll systems and verify rates, SUI accounts, and withholding requirements.
• Monitor compliance updates and partner with Payroll Managers to implement changes.
• Maintain documentation of tax accounts, filings, and notices across all applicable states.
  
  

• Support local payroll leads (Europe, UK, Moldova, India) with data collection, audit files, and reporting needs.
• Track statutory changes globally and escalate potential impacts to the appropriate payroll owner.
• Coordinate with external payroll vendors to troubleshoot discrepancies or missing data.
  
  

• Prepare payroll journal entries and assist with monthly close activities in partnership with Finance.
• Reconcile payroll accounts, statutory payments, and benefits invoices.
• Assist with year-end reporting activities (e.g., W‑2 reconciliation, global equivalents).
  
  

• 3–5+ years of experience in payroll support, payroll operations, or related roles.
• Strong hands-on experience in US State tax setup, SUI registration, and multi-state compliance.
• Experience supporting multi-country payroll teams (US required; EU/India preferred).
• Working knowledge of accounting concepts and payroll GL reconciliation.
• Proficiency with payroll or HRIS systems (you can customize with your company’s stack).
• Strong Excel skills and comfort working with complex data sets.
• Excellent attention to detail and ability to operate with confidentiality.
  
  

• Payroll certifications (FPC or CPP).
• Experience in high-growth or multi-entity environments.
• Familiarity with Workday, BambooHR, Rippling, ADP, Deel, Remote.com, or similar platforms.
  
  

• Highly organized and able to manage work across multiple time zones.
• Strong problem‑solving skills and ability to identify discrepancies quickly.
• Excellent communication skills and a collaborative mindset.
• Comfortable in a fast-paced, evolving environment.
