Job Summary

We are looking for a proactive, organized, and detail-oriented Executive Assistant cum Admin to support the Director and senior management team. The ideal candidate should have strong communication, coordination, and analytical skills — along with the ability to manage multiple priorities in a fast-paced environment.

This position requires high levels of discretion, ownership, and initiative, with an emphasis on supporting strategic goals and improving operational efficiency.

Key Responsibilities

  • Calendar & Schedule Management: Plan, coordinate, and manage the Director’s daily schedule, meetings, and appointments efficiently.
  • Communication & Coordination: Act as the primary liaison between the Director and internal/external stakeholders, ensuring timely and professional communication.
  • Meeting Preparation: Organize meetings, prepare agendas, record minutes, and follow up on actionable points.
  • Travel & Logistics: Handle travel bookings, accommodation, and related arrangements.
  • Documentation & Reporting: Prepare, maintain, and organize important reports, records, and presentations.
  • Project & Research Support: Assist in tracking company projects, conducting market or business research, and preparing project briefs or proposals.
  • Expense Management: Monitor, reconcile, and report executive expenses and budgets accurately.
  • Event & Engagement Support: Help plan and execute corporate meetings, events, and internal engagement activities.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Minimum 2 years of experience as an Executive Assistant or similar administrative role.
  • Strong command over Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and cloud-based tools.
  • Excellent verbal and written communication skills.
  • Exceptional organizational and time management abilities with keen attention to detail.
  • Capable of handling confidential information with integrity and professionalism.
  • A self-starter who can work independently and adapt to changing priorities.

Preferred Skills

  • Experience using project management tools.
  • Familiarity with Google Workspace / cloud collaboration tools.
  • Basic understanding of accounting or expense management systems.
