Ashland has an exciting opportunity for an Manager - Administration to join our Resource Group Team at our Hyderabad office. This is a very visible, significant role within the Company . This position will report to Hyderabad Site Coordinator.

The Manager - Administration Is Responsible For

  • Coordinate with HR on all contractor matters (which include hiring / letters/ agreements), documentation, maintaining registers and such compliances (related to team lease).
  • Co-lead Insurance renewals and supporting activities with HR
  • Manage medical/Insurance coordination with broker, insurer and employees
  • Manage food arrangements for all visitors, in‑house meetings, and conferences, including establishing tie‑ups with various hotels and providing employees with suitable food service options; additionally, support the Site Coordinator and relevant stakeholders for sessions such as booking, food, travel, vendor coordination, and other logistical requirements.
  • Support on CSR initiatives and associated activities
  • Management of conference rooms, training room and making necessary arrangements for the meeting /training/interview in coordination with Site Coordinator
  • Look after day-to-day office activities, ensure that the office is maintained in a neat and clean manner.
  • Ensure smooth security operations in the entire facility.
  • Manage of petty cash / issuing and reconciliation.
  • Manage repairs, maintenance & replacement of office equipment, appliances, furniture etc.
  • Coordinate with vendors like stationary, air conditioning, electricity, computers, IT, water purifiers, civil work, carpentry work, fire extinguishers, pest control, office plant service, telephone lines, mobiles etc... for office maintenance.
  • Will be responsible for all facilities including HYD GBS & Pharma R&D Lab
  • Oversee the admin executive of Pharma lab on all his/her responsibilities including, labour compliances, registers, notices, housekeeping, security, attendance, purchase, procurement, petty cash
  • Evaluate performance of all reporting staff and suggest development opportunities
  • Responsible for end‑to‑end vendor management—including vendor onboarding, performance analysis, monitoring, price negotiation, AMC management, and developing a cost‑effective vendor/supplier base to ensure timely procurement and supply of office equipment, stationery, contingency items, and utility materials—along with handling material inflow/outflow, coordinating custom clearance, posting Purchase/GRN transactions in SAP, and allocating costs to the corresponding cost centers.
  • Pantry management: manage consumable supplies and facility provided, like vending machine, cutlery etc.
  • Support other resource functions like, procurement, EHS, Audit, legal etc. as the need be.
  • Coordinate in planning and organizing company events like annual days, festival celebrations, Birthday Celebrations etc.
  • Coordinate for desk allocation/change. Set up desk for new joiners and arrange all facilities.
  • Overlook the Travel desk services which includes Travel Desk support, VISA processing (for employees locally and international visitors), Forex assistance, Travel Insurance, Domestic Hotel Reservations, Employee Transportation for night‑shift staff, and Car Rental arrangements for guests.

Support In Management Activities

  • Prepare MIS, expense reports
  • Analyse and suggest cost effective options
  • Read and vet contracts
  • Checking all bills before approval by Site Coordinator

Education/Experience

  • Bachelors/Masters in Administration required.
  • 15 - 20 years of experience
  • Proven experience in office administration
  • Working knowledge of Office 365, SAP (if possible)
  • Excellent communication and negotiation skills
  • Well-organised and reliable
  • Experience working with a global company, product/services
  • Longer tenure (3+ years) in every company is expected.
