Executive Officer (holding the functional title of Assistant Manager) in the Hong Kong Jockey Club Global Health Institute (HKJCGHI), School of Public Health (Ref.: 537183), to commence as soon as possible, on a two-year fixed-term basis with a contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to funding availability and satisfactory performance.
HKU has partnered with the International Vaccine Institute (IVI) and The University of Cambridge to establish the HKJCGHI, funded by the Hong Kong Jockey Club Charities Trust. IVI is a non-profit international organisation dedicated to vaccines and vaccination for global health. IVI coordinates the epidemiology, pandemic preparedness, vaccine process development, and capacity-building workstreams of the HKJCGHI. These areas of work are integrated with HKJCGHI activities through IVI Headquarters in Seoul.
Applicants should possess a recognized Bachelor’s degree with at least 5 years of relevant work experience, preferably in tertiary institutions. They should have a strong command of written and spoken English and Chinese; good computer proficiency, especially in Microsoft Office applications; strong organisational and communication skills; and the ability to work independently as well as in a team. The successful candidate should be detail-oriented, self-motivated, able to prioritize multiple tasks efficiently, and capable of producing high-quality work under pressure and within tight deadlines.
The appointee will join the IVI team, primarily supporting vaccine process development, with additional involvement in other IVI workstreams as required. He/She will provide ad hoc and non-routine administrative support for IVI-led workstreams. Responsibilities include supporting the organization of academic activities and events such as training workshops, seminars, and conferences; managing financial operations and coordinating human resources activities, including recruitment, onboarding, and visa applications; ensuring timely reporting, streamlining procedures, and maintaining stakeholder relationships; overseeing procurement, budgeting, and financial reporting; managing research project budgets and resources; collaborating with internal and external stakeholders to support project implementation and event management; addressing operational challenges and maintaining efficient office operations; coordinating with research and administrative teams; managing laboratory facilities; and performing other duties as assigned.
A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits.
