Job Description

The Accounts Payable Executive plays a critical role in a company's finance department by managing all aspects related to the organization's accounts payable processes. This position requires a meticulous and highly organized individual who can maintain records, process transactions, and communicate effectively with vendors and internal teams. The ideal candidate will have a strong understanding of accounting principles, excellent analytical skills, and the ability to work collaboratively in a fast-paced environment. Attention to detail and the ability to manage multiple tasks simultaneously are vital to ensure that all financial obligations are met on time. The Accounts Payable Executive will serve as a key contact for vendors and will be responsible for maintaining positive relationships as well as ensuring the integrity and accuracy of the accounts payable data.


Responsibilities

  • Process and manage the organization's accounts payable activities with accuracy and efficiency.
  • Ensure timely payments of vendor invoices and verify discrepancies for resolution.
  • Maintain and organize financial records related to expenses and invoicing.
  • Reconcile statements and accounts to confirm payment accuracy and resolve discrepancies.
  • Coordinate with procurement and other departments to verify approval and accrual processes.
  • Produce regular accounts payable reports detailing payment timelines and outstanding balances.
  • Assist in month-end and year-end closing processes to ensure accurate financial reporting.
  • Respond to vendor inquiries and mitigate any payment-related issues effectively.
  • Develop and maintain positive relationships with vendors through consistent communication.
  • Implement process improvements to enhance efficiency and accuracy of accounts payable functions.
  • Ensure compliance with internal policies and procedures as well as legal requirements.
  • Provide training and support to new team members regarding accounts payable processes.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
  • Minimum of 3 years of experience in an accounts payable or similar role.
  • Strong knowledge of accounting principles and experience with accounting software.
  • Exceptional attention to detail and organizational skills are essential.
  • Proven ability to deal with confidential and sensitive information with discretion.
  • Excellent communication and interpersonal skills for vendor and team interactions.
  • Proficiency in Microsoft Office Suite, particularly Excel, for reporting purposes.
