Job Summary

Assisting the Manager of Office Services in managing the administrative services at Chennai branch. Having knowledge of ISO standards applicable on an office facility, with highest level of commitment to safety and ethical behavior.

Job Dimensions

Supervision Received

  • Receives general operational direction from assigned manager(s)/Supervisor. Self-starter, requiring minimum guidance or supervision / works independently. Functionally reporting to Manager of Office services.

Supervision Exercised

  • Provide operational and/or functional support to other staff members on administrative matters. Supervise and manage the IFM service provider for their efficient execution of services as per the SLA

Contacts

  • Employees and outside individuals in receiving calls and visitors, making travel/meeting arrangements, and executing other duties
  • Vendors, Clients, company management and jobsite personnel

Major Responsibilities

  • Preferred to have prior experience in setting up of a new facility, which would involve coordinating construction activities, management of temporary office space and ensuring all safety standards have been established before start of operations.
  • Ensuring 24x7 availability of facilities with zero break downs of services (viz. Space Allocation, Utilities, Housekeeping Services, Pantry & Cafeteria etc.)
  • Managing office service contracts, ensuring timely renewals, and tracking performance of the deliverables by vendors.
  • Responsible for implementation of BIPL Safety & Security Standard thus ensuring a safe & secure office premises.
  • Keeping track of all office expenses and procurement.
  • Liaison with government and non-government agencies, as may be required from time to time.
  • Tie-up with hotel for visitor’s accommodation and transport agency for local commute.
  • Coordinating legal & statutory compliances applicable on Chennai Office.
  • Preparing MIS reports
  • Coordinating and managing celebrations of events as directed by the management.

Education And Experience Requirements

  • Qualification: Graduate with Proficiency in Microsoft Applications. In-depth in MS Excel/MS word/Power point
  • Strong organizational and multi-tasking skills

Required Knowledge And Skills

  • Good Knowledge of written and spoken English, Tamil & Hindi.
  • Collaborative & Customer Centric
  • Good Communication Skills
