Job Description

As a Personal Assistant, you will serve as a critical support system for an executive, manager, or entrepreneur, assisting with their day-to-day operations while enabling them to focus on their primary responsibilities. In this role, you will oversee organizational tasks, manage schedules, and coordinate various activities to ensure the smooth and efficient execution of work. This position requires someone who is proactive, highly organized, and capable of managing multiple tasks simultaneously. An excellent communicator, you will act as the primary point of contact for both internal and external parties. Your ability to anticipate needs and offer solutions will be key in providing exemplary support and enhancing productivity.


Responsibilities

  • Coordinate and manage daily schedules, meetings, and appointments for the executive.
  • Act as the first point of contact for all communications on behalf of the executive.
  • Organize and maintain the executive's office, ensuring it remains efficient and tidy.
  • Prepare briefing materials, reports, and presentations as required for meetings and events.
  • Handle confidential information with utmost discretion and professionalism.
  • Assist in coordinating travel arrangements, including flights, accommodations, and itineraries.
  • Manage correspondence by screening and directing emails and calls appropriately.
  • Research and compile information required for strategic decision-making processes.
  • Schedule, attend, and take minutes during meetings, ensuring accurate records.
  • Support project management activities by monitoring timelines and deliverables.
  • Facilitate communication between the executive and key stakeholders effectively.
  • Liaise with other departments and agencies to meet the needs of the executive.

Requirements

  • Proven experience as a Personal Assistant or similar administrative role is required.
  • Exceptional time management skills with the ability to prioritize tasks effectively.
  • Strong organizational skills with high attention to detail and accuracy.
  • Effective verbal and written communication skills are necessary for success.
  • Ability to maintain discretion and confidentiality handling sensitive information.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Familiarity with office management systems and procedures is highly beneficial.
