Production Coordinator

Position Summary

BOT VFX, a visual effects services company with global clients, is looking for a Production Coordinator as a full-time permanent role. The position is based out of Chennai, India.

Position Responsibilities

• Manage day-to-day internal operations of one or more shows, overseeing workflows from ingest to delivery while ensuring steady progress.
• Collaborate with the Producer, Production Manager, Leads, and Supervisors to track and manage workflows, ensuring deadlines are met.
• Assist with bidding documentation, communicate updates to Producers, and maintain accurate records in the internal tracking system.
• Identify and escalate issues proactively to ensure timely resolution during bidding.
• Coordinate calls between Producers and the bidding team, ensuring clarity on all essential details.
• Convert awarded bids into actionable production roadmaps.
• Maintain and update the production database daily with relevant notes and critical information.
• Schedule and monitor task progress for assigned artists or sequences under the guidance of the Production Manager.
• Ensure tasks are assigned appropriately and completed on time, meeting required specifications.
• Coordinate and monitor multiple projects effectively.
• Communicate schedule changes to artists and Supervisors through Production Assistants.
• Manage multiple daily review (dailies) sessions and follow up with Production Assistants.
• Facilitate communication between Supervisors, Leads, and artists.
• Organize and prepare media for Cinesync and client review sessions.
• Arrange calls with clients and the creative team to address challenges during show progression when required.
• Oversee client deliveries for all work-in-progress (WIP) and final outputs in collaboration with Leads.
• Ensure daily reviews are conducted as per schedule and within allocated time.
• Maintain data accuracy in the internal tracking system, ensuring project scope, task assignments, statuses, and completion details are up to date.
• Coordinate all client deliveries with Production support and maintain a delivery log.
• Ensure clear communication and regular updates across teams.
