Job Purpose

As a member of the PICG team, this position is responsible for overseeing and managing the entire employee lifecycle—including onboarding, offboarding, payroll, and benefits administration—for all three entities in India (MB Mumbai, MB Gift City, and MGN Bangalore). The role is dedicated to ensuring positive and consistent employee experience across these locations. Key responsibilities include leading the onboarding process to ensure seamless integration of new hires, managing smooth offboarding procedures, ensuring timely and accurate payroll processing, administering employee benefits, and maintaining full compliance with company policies and government regulations. Additionally, the role serves as a key point of contact for employees, fostering engagement and satisfaction throughout their tenure with the organization. It also ensures that all policies, processes, systems and benefits are aligned to the global ways of working.

Key Result Areas

Strategic Onboarding Management

  • Lead the design and continuous improvement of the company’s onboarding strategy to ensure engaging, consistent, and efficient experience for all new hires across locations.
  • Oversee the onboarding team to guarantee a seamless integration process, including executive-level onboarding. Develop metrics to measure onboarding effectiveness and retention, and present regular reports to senior leadership.
  • Support the implementation of digital transformation and facilitate automated onboarding for new employees.

New Joiner Experience And Integration

  • Oversee the creation, maintenance, and optimization of new joiner profiles in the HRIS/Fusion system.
  • Develop and implement strategies to enhance new joiner engagement and early productivity, including mentorship programs and feedback mechanisms.
  • Ensure compliance with data privacy and security standards for all employee records.

Comprehensive Benefits Strategy And Administration

  • Develop and implement the company’s staff benefits strategy in alignment with business objectives and market trends.
  • Negotiate terms and manage relationships with external benefits providers, such as insurance companies and meal card vendors, to ensure cost-effective and competitive offerings.
  • Oversee audits of benefits administration and ensure policy updates reflect regulatory changes.
  • Lead the annual benefits review and recommend enhancements to leadership.
  • Drive automation initiatives in benefits enrollment, claims processing, and employee self-service portals to streamline administration and improve user experience.
  • Collaborate with IT and HRIS teams to integrate benefits management systems, enabling seamless data exchange and real-time updates for employees.
  • Regularly assess and revamp existing benefits programs by conducting employee surveys, benchmarking against industry standards, and introducing innovative offerings aligned with workforce needs.
  • Implement automated communication campaigns to keep employees informed about benefits updates, deadlines, and new features.
  • Monitor and analyze utilization data to identify underused benefits and propose targeted improvements or replacements.

Employee File and Document Management

  • Establish standards and best practices for employee file management, ensuring accurate, up-to-date, and compliant documentation.
  • Oversee the digital transformation of document management, including the Electronic Document Management System (EDMS).
  • Coordinate with external partners, such as Crown Solutions, to ensure smooth management and retrieval of physical documents.
  • Lead periodic audits and drive continuous improvement initiatives for document compliance.

Payroll Governance and Compliance

  • Oversee collaboration with payroll partners to ensure timely and accurate creation of Provident Fund (PF) and Gratuity accounts.
  • Develop controls and processes for managing payroll-related statutory documentation.
  • Ensure compliance with all statutory requirements and provide strategic guidance during statutory audits.
  • Regularly review and update payroll policies and procedures to reflect changes in legislation and best practices.
  • Conduct periodic internal audits of payroll processes to identify and mitigate compliance risks.
  • Coordinate with internal and external auditors to facilitate smooth audit processes and timely resolution of findings.
  • Maintain up-to-date records of all payroll transactions and statutory filings for audit and regulatory review.
  • Deliver training and guidance to HR and payroll teams on statutory compliance requirements and process changes.
  • Monitor payroll service level agreements (SLAs) with external vendors to ensure compliance and performance standards are met.
  • Act as the primary point of contact for resolving complex payroll compliance issues and responding to regulatory inquiries.

Employee Experience Strategy And Team Leadership

  • Develop, communicate, and implement employee experience strategies that align with organizational goals.
  • Mentor and lead the HR operations team, ensuring continuous professional development.
  • Monitor key performance indicators (KPIs) for HR operations and implement action plans for process improvements.
  • Serve as the escalation point for complex HR operations issues and represent the function in cross-functional leadership meetings.

Knowledge, Skills And Experience

  • Bachelor’s / Master’s degree in Human Resources, Business Administration, or related field.
  • Proven experience in HR operations, onboarding, or a similar role in the BFSI space.
  • Familiarity with Oracle databases and proficiency in Microsoft Excel and Power point skills.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Knowledge of India labor laws and statutory requirements.
  • Skills and Competencies:
  • HR Systems Knowledge: Familiarity with HR systems and databases, particularly experience with Oracle Fusion and Electronic Document Management Systems (EDMS), is highly desirable.
  • Document Management: Experience in managing sensitive employee documents and ensuring they are up-to-date, secure, and compliant with audit requirements.
  • Compliance: Awareness of labor laws and statutory requirements, with the ability to ensure all processes meet these standards.
  • Soft Skills: Strong organizational and time management skills, excellent communication and interpersonal abilities, and a high level of confidentiality and discretion.
  • Tech-Savviness: Proficiency with office productivity tools and software, with a willingness to learn new technologies as needed.
  • Teamwork: Ability to work collaboratively in a team as well as independently with minimal supervision.
  • Adaptability: Flexibility to adapt to changing priorities and manage multiple tasks simultaneously.
