About The Role
The Procurement Analyst is responsible for ensuring vendor management and purchase order compliance, supporting the business in meeting supply needs and assuring that all procurement guidelines relating to policy, processes and administrative housekeeping are strictly followed. This position will also act as the primary interface with vendors, internal stakeholders and the finance team to maintain workflow.
The successful candidate will have sound business acumen with an ability to work in a matrixed and cross-functional environment to proactively (and reactively) address vendor service, delivery , risk and performance issues; ability to understand and work within a diverse cultural landscape and all organizational levels to seek opportunities for improvement, gathered and use metrics and leverage the entire organization and/or resources to resolve problems when and where required
Your Responsibilities
Manage incoming vendor requests, ensuring compliant to policy in a timely manner.
Maintain and report vendor performance metrics
Assist requisition workflow in a timely manner
Maintain accurate records including supporting documentation as required by Quality and departmental guidelines
Manage queries from internal stakeholders and vendors in a timely manner
Support procurement spends, vendor and Purchase Order metrics investigating irregularities or exceptions
Collaborate with procurement team in category management and strategic sourcing activities
Training, Quality and Compliance
Complete mandatory training for this role within specified timelines
Attend mandatory training sessions required for this role
Identify resources and training to support learning and development within this role
Comply with all applicable regulations, guidelines, SOPs and project-specific requirements
Comply with all designated systems relevant to this role
Ensure own quality control of all relevant processes and activities performed
Report and escalate identified risks and issues in areas of responsibility according to Emerald Clinical and/or project requirements
Customer Focus and Teamwork
Attend and actively participate in Emerald Clinical meetings and other internal meetings and activities as required
Provide input to systems, tools and processes to support continuous improvement
Share knowledge with others, to facilitate learning and development across the organisation
Work Health and Safety
Comply with Work Health & Safety (WH&S) legislation and operate in accordance with established organisational WH&S practice and procedures
Promote and contribute to a safe, secure environment for staff and visitors
About You
Business relevant degree ideally with a procurement specific professional qualification or certification
Ideally three to five years procurement experience supporting global business ideally within a clinical research organisation
Must be proficient with standard technology including but not limited to the Microsoft office modules and have experience with a Procure to Pay (PtoP) and/or Enterprise Resource Planning (ERP) system like Oracle, Salesforce or SAP with data analytic and finance experience
Knowledge and understanding of commercial supply contracts would be a bonus
Competencies
Must have excellent communication (written and verbal) skills in English as well as at least one other language, along with excellent interpersonal skills, with the ability to communicate effectively with all levels of the organisation, both internally and externally
An understanding of procurement and vendor management principles, risk and best practice
Knowledge of ICH-GCP guidelines, global and local ethical and regulatory research requirements as they relate to the use of vendors in clinical studies is an advantage
Strong negotiating skills
Must be accurate with a good attention to detail.
Ability to work as part of a team, and persistent when interacting with vendors and internal departments, including but not limited to finance, sales, and project management.
Must have good organisational and analytical skills.
Ability to manage multiple priorities and make decisions in an ambiguous environment
Technological proficiency including Microsoft Office packages
Ability to see the big picture, yet still focus on detail and quality of work
Ability to be flexible and adaptable in the face of changing organisational priorities and ambiguous environments
Additional Requirements
Must have a positive attitude and ability to work well in a team
Be willing to travel to the office occasionally
Customer Service: Acts with customers (procurements stakeholders) in mind; promotes customer focused business practices; takes time to establish personal contact with customers and ensure organisational and business needs are being met; constantly listening to customers to drive continuous improvement opportunities.
