About the role We are seeking an experienced Advanced System Manager II to join ClinOps and Regulatory GBS in Bangalore. You will take ownership of the operation, maintenance and continuous improvement of the Docuvera Structured Content system and related systems (including SF36). This role is key to ensuring system availability, compliance with GxP and Novo Nordisk Quality Management standards, successful vendor management and excellent stakeholder experience across a global user base.
Key Responsibilities
- Managing Docuvera – Structured Content system, SF36 system and other system deliverables within agreed schedule, scope, quality.
- Manage the Docuvera – Structured Content DevOps team activities (Release management)
- Oversee deployments into the Docuvera – Structured Content environments.
- Manage the expectation of LoB, Customers and users concerning the use of systems (Prepare, provide, and develop the services as agreed).
- Drive Vendor Audit based on Supplier Assessment and own findings, work towards the closure of findings and key Input for Supplier Agreements / Supplier selection
- Audit and Inspection readiness for Docuvera. High level of compliance.
- Active role in technical / business go-lives.
- Prioritize business & technical scalability of the solution.
System Management
- Overall responsible for operation and maintenance of Docuvera system, SF 36 system etc., which is being operated out of ClinicalOps & Regulatory GBS.
- Manage SF 36 & Docuvera system deliverables within agreed schedule, scope, quality.
- Define, Update & Manage system maintenance and operations for SF36, Docuvera system.
- Adherence to Novo Nordisk Quality Management System.
- Optimize system spend by ensuring that goals are met timely with appropriate quality and
- minimum usage of resources.
- Maintain the validated state of SF36, Docuvera System.
- Represent system in connection with audits and inspections.
- Ensure that the relevant NN QA is kept informed about the status of the system.
- Evaluate and document, together with the relevant NN QA, the criticality of the
components of the system.
- Ensure that responsibilities and authorities for interfaces and transfer of data between
systems are mutually agreed and documented.
- Obtain the necessary authorization from the system owner to approve specific validation.
- Audit and Inspection readiness for Docuvera. High level of compliance.
- Active role in technical / business go-lives.
- Prioritize business & technical scalability of the solution.
Stakeholder Management
- Prepare, provide, and develop the services as agreed.
- Manage the expectation of LoB, Customers and users concerning the use of systems.
- Ensuring that system management is aligned with relevant QA and LoB requirements.
Vendor Management
- Interacts with vendors and resolves operational issues.
- Negotiation of agreements such as Work Orders and SLA Addendums with external vendors.
- Management of highly complex contracts and operational vendor set-up.
- Ensure vendor performance according to KPIs and contracts.
Supplier Assessment and Vendor Audits
- Key Input for Supplier Agreements / Supplier selection
- Drive Vendor Audit based on Supplier Assessment and own findings, work towards the closure of findings.
- Ensure that the quality practices of the vendor comply to NN Quality standards.
Other Areas Of Responsibility
System Manager for other ClinOps and Regulatory GBS Systems:
Ensure ability to stand in as system manager for other critical and GxP systems in ClinOps and Regulatory GBS.
Product Owner for Docuvera DevOps
Ensure ability to stand in as Product Owner for Docuvera DevOps.
System Manager Forums
Actively participates in System Manager forums. Mentors and spars with either aspiring or new System Managers.
Quality Assurance
Employee is expected to act independently to ensure all aspects of meeting quality levels on both system user satisfaction, system owner interactions/stakeholder management and relevant GxP requirements.
Authority
Employee has the authority to address and negotiate (within assigned budget) with both vendors and system owner independently to ensure that targets are met.
Geographic Responsibility
- Docuvera supports ‘Regulatory’ area in Novo Nordisk A/S across the global hence, is a global IT System. The position is in NN-GBS, Bangalore.
- The position requires a high degree of collaboration with stakeholders at various levels across the globe.
- Due to time-zone differences frequent virtual meetings and calls outside normal working hours should be expected.
- Flexibility in the travel is expected, if needed
Education & Experience
- Bachelor or Masters in relevant field with 10+ years of IT/pharmaceutical experience, with a minimum of 3-5 years of system management experience and knowledge of GxP systems.
- In-depth knowledge of ITIL, Incident, Problem and Change Management processes.
- Experience from working in a project oriented, international matrix organization.
- Experience in the IT domain with IT project work or 2-5 years of IT experience covering specification, design, development or implementation of IT solutions.
- Experience within the pharmaceutical or other relevant industry, combined with general business understanding or 11 years of experience within operation and maintenance of IT systems in large organizations
- Experience working with GxP requirements, validation & compliance.
- Experience from working in service level-based organizations and managing service level agreements with customers and vendors with strong stakeholder management.
- Experienced in the use of office desktop applications and tools (e.g. Microsoft Office).
- Experience in vendor management & handling budget responsibilities.
