Job Title: Officer, Dispatch, Aggregate



Introduction:

 

The Dispatch Officer is responsible for planning, coordinating, and monitoring all dispatch activities to ensure timely, accurate, and cost-effective delivery of materials, spare parts, equipment, and finished goods to customers and project sites. The role ensures compliance with company procedures, safety standards, transportation regulations, and customer requirements.


What you’ll do:

Dispatch Planning & Coordination

  • Coordinate daily dispatch activities according to customer schedules and delivery priorities.
  • Ensure timely preparation of dispatch documentation and shipment schedules.
  • Monitor dispatch readiness and coordinate with warehouse, production, procurement, and transport teams.
  • Plan vehicle loading to maximize transportation efficiency and safety.

Documentation & Compliance

  • Prepare and verify delivery challans, invoices, e-way bills, packing lists, transport documents, and export documentation (where applicable).
  • Ensure compliance with statutory, customs, and transportation regulations.
  • Maintain accurate dispatch records and shipment tracking reports.

Inventory & Warehouse Coordination

  • Verify material availability before shipment.
  • Coordinate picking, packing, labeling, and staging of materials.
  • Ensure FIFO/FEFO principles are followed where applicable.
  • Support inventory accuracy and cycle count activities.

Logistics Management

  • Liaise with transporters, freight forwarders, and courier partners.
  • Track shipments and provide delivery status updates.
  • Resolve transportation delays, shortages, and delivery discrepancies.
  • Optimize freight utilization and logistics costs.

Customer Support

  • Coordinate with customer service and sales teams regarding dispatch schedules.
  • Provide shipment information and proof of delivery to customers.
  • Handle customer queries related to deliveries and dispatch documentation.

Safety & Quality

  • Ensure safe loading and unloading practices.
  • Follow Metso safety standards, warehouse procedures, and quality requirements.
  • Report incidents, damages, and non-conformities promptly.
  • Participate in continuous improvement initiatives.

Who you are:

  • Bachelors Degree / Diploma in Logistics, Supply Chain Management, Warehouse Management, Commerce, or related field.
  • Certification in Logistics or Warehousing is an advantage.

Experience

  • 3-6 years of experience in warehouse, logistics, dispatch, or supply chain operations.
  • Experience in manufacturing, mining equipment, heavy engineering, or industrial products preferred.
  • Experience working with ERP systems such as SAP S/4HANA.
