Job Description

A Wedding & Events Coordinator is an integral part of any event planning team, responsible for managing and executing various types of events, including weddings, corporate gatherings, parties, and other special occasions. This role involves working closely with clients to bring their visions to life, coordinating with vendors, and ensuring the seamless delivery of all event components. The ideal candidate should possess excellent organizational skills, a keen eye for detail, and the ability to manage multiple tasks simultaneously. A passion for creating memorable experiences and a strong commitment to customer satisfaction are crucial for success in this role. Effective communication and problem-solving skills are essential to navigate the challenges that arise during the planning and execution of events.


Responsibilities

  • Consult with clients to understand their vision and event requirements thoroughly.
  • Coordinate with vendors and suppliers to ensure timely delivery of services and products.
  • Manage all event logistics, including venue selection, layout design, and scheduling.
  • Develop detailed event plans and timelines to ensure smooth execution on the day.
  • Negotiate contracts and pricing with vendors to meet client budgets effectively.
  • Supervise event setup, operations, and breakdown to guarantee seamless execution.
  • Address any challenges or changes promptly to ensure client satisfaction and event success.
  • Oversee guest management, including invitations, RSVPs, and seating arrangements.
  • Ensure compliance with health and safety regulations and venue policies during events.
  • Coordinate post-event activities, including feedback collection and financial reconciliation.
  • Maintain comprehensive records of client interactions and vendor transactions for reference.

Requirements

  • Bachelor's degree in Event Management, Hospitality, or related field preferred.
  • Proven experience in coordinating events, including weddings and corporate events.
  • Excellent organizational skills with the ability to multitask effectively.
  • Strong communication skills, both written and verbal, for client and vendor interaction.
  • Creative problem-solving skills and ability to handle unexpected situations calmly.
  • Proficiency in event planning software and tools, including budgeting programs.
  • Flexibility to work long hours, including weekends and evenings, as required.
