Responsibilities

  • Manage the scheduling and coordination of conference rooms and company meetings.
  • Maintain a clean and organized reception area to facilitate welcoming environment.
  • Receive, sort, and distribute daily mail deliveries and packages promptly.
  • Provide basic information to inquiries, handling client questions and guiding them appropriately.
  • Assist in scheduling appointments and managing calendars for staff members as required.
  • Track and restock office supplies, ensuring essential items are readily available.
  • Coordinate with relevant departments for office maintenance and repair requests.
  • Facilitate visitor access to the building, ensuring adherence to security protocols.
  • Prepare and consistently update a directory of company contacts and services.
  • Contribute to administrative duties, supporting various departments as needed.

Requirements

  • High school diploma or equivalent qualification required for this role.
  • Previous experience as a receptionist or in a related field is beneficial.
  • Proficiency with office equipment such as computers, phone systems, and printers.
  • Excellent verbal and written communication skills are necessary for the position.
  • Strong organizational skills to manage multiple tasks and priorities efficiently.
  • Customer service orientation with a personable and friendly demeanor.
  • Knowledge of basic office management and administrative procedures is essential.
  • Ability to handle sensitive information with discretion and confidentiality.
