Job Description

The role of a Receptionist is critical to the smooth operation of any organization. As the front-line representative, the Receptionist is the first point of contact for clients, visitors, and staff, ensuring a positive and welcoming experience. This position demands excellent communication skills, a friendly demeanor, and a high degree of professionalism. The Receptionist is responsible for managing incoming calls, handling inquiries, and directing visitors to the appropriate departments or personnel. Additionally, they may perform clerical duties such as scheduling appointments, managing calendars, and handling correspondence. The ideal candidate will be organized, personable, and capable of multitasking efficiently in a fast-paced environment. A Receptionist plays a key role in fostering a positive impression of the company, contributing to the overall customer service experience.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the correct person and office location efficiently.
  • Answer, screen, and forward incoming phone calls professionally.
  • Maintain visitor logs, ensuring accurate records of all guests.
  • Inform departments of visitor arrivals accurately and promptly.
  • Receive, sort, and distribute daily mail and deliveries timely.
  • Schedule appointments and manage conference room bookings effectively.
  • Update calendars and schedule meetings for management as needed.
  • Assist in preparing and handling correspondence, such as emails and letters.
  • Ensure reception area is tidy and presentable, with necessary stationery.
  • Coordinate with office staff to ensure efficient operations and procedures.
  • Provide basic and accurate information in-person and by phone/email.

Requirements

  • Proven work experience as a Receptionist or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) applications.
  • Solid written and verbal communication skills are mandatory.
  • Excellent organizational abilities with strong attention to detail.
  • Capability to multitask and manage time effectively in a busy setting.
  • Customer service-oriented attitude with a professional appearance required.
  • High school degree; additional certification is a plus.
