Job Description

We are seeking a highly organized and professional Receptionist to join our team. As the first point of contact for our company, the ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment. The Receptionist will manage front desk operations, including greeting visitors, handling phone calls, and managing bookings. This role is crucial in ensuring the smooth daily operations of our office while providing outstanding customer service to all guests and staff. Responsibilities

  • Greet and welcome visitors while ensuring a positive first impression.
  • Answer, screen, and forward incoming phone calls professionally and courteously.
  • Maintain the reception area neat and presentable with all necessary materials.
  • Coordinate and manage meeting room bookings and preparation.
  • Assist with administrative tasks, such as data entry and filing documents.
  • Receive, sort, and distribute daily mail and deliveries as required.
  • Provide basic and accurate information in-person and via phone/email.
  • Monitor office supplies and place orders when necessary to maintain stock levels.
  • Assist with on-boarding new employees, ensuring they have required access and materials.
  • Handle customer inquiries efficiently, or guide them to the appropriate department.
  • Manage schedules and appointments, ensuring no conflicts or overbookings occur.
  • Adhere to company privacy policies by protecting all confidential information.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Hands-on experience with office equipment like printers and fax machines.
  • Strong organizational skills with the ability to multitask effectively.
  • Excellent verbal and written communication abilities are essential.
  • Customer service attitude with an ability to solve issues promptly.
  • High school diploma; additional certification in Office Management is a plus.
