Job Description

As a Receptionist, you are the face and first point of contact for any organization. Your role is crucial in creating a welcoming and professional environment for visitors, clients, and staff alike. Your primary duties involve greeting guests, managing phone calls, and handling inquiries efficiently and courteously. Furthermore, you will coordinate front-desk activities, ensuring all administrative tasks are completed accurately and delivered with high quality in a timely manner. An ideal candidate should have outstanding communication and customer service skills, with the ability to maintain a positive attitude even under pressure. Attention to detail, as well as an aptitude for data entry and managing office equipment, are essential.


Responsibilities

  • Greet visitors and direct them to the appropriate staff or department.
  • Answer, screen, and forward incoming phone calls related to general inquiries.
  • Provide basic and accurate information in response to customer questions.
  • Handle and distribute incoming and outgoing mail and deliveries.
  • Maintain office security by logging visitors and following established procedures.
  • Coordinate meeting room availability and arrange necessary refreshments for guests.
  • Assist in preparing and organizing documents and presentations as needed.
  • Keep the reception area tidy and presentable, with all necessary materials available.
  • Monitor and manage office supplies inventory, placing orders when necessary.
  • Support the administrative team with projects and tasks as required.
  • Utilize office equipment such as printers and fax machines effectively.
  • Liaise with other departments to ensure smooth communication and operations.

Requirements

  • Proven work experience as a Receptionist or in a similar role.
  • Excellent organizational and multitasking abilities across varying tasks.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong verbal and written communication skills are essential.
  • Customer service attitude with direct experience in client-facing roles.
  • Experience with office equipment such as printers and fax machines.
  • High school diploma; additional qualification in Office Administration is a plus.
