Job Description

We are seeking a highly organized and personable Receptionist to join our team and serve as the first point of contact for our clients and visitors. As a Receptionist, you will be responsible for creating a welcoming environment, managing incoming communication, and performing numerous administrative tasks. This role requires someone who is an excellent communicator, detail-oriented, and able to effectively manage time in a dynamic setting. The ideal candidate will have a professional demeanor and the ability to manage multiple tasks simultaneously. Your contributions are crucial in ensuring our operations run smoothly and efficiently, making a significant impact on the overall satisfaction of both our clients and employees.


Responsibilities

  • Greet and welcome visitors as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office promptly and courteously.
  • Answer, screen, and forward incoming phone calls with professionalism.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
  • Receive, sort, and distribute daily mail and deliveries with accuracy.
  • Maintain office security by following safety procedures and controlling access.
  • Monitor office supplies and inform management when replenishments are necessary.
  • Coordinate with facility management regarding any maintenance issues and requirements.
  • Maintain an updated calendar of appointments and schedule meetings accordingly.
  • Perform clerical duties such as filing, photocopying, transcribing, and faxing.
  • Assist colleagues with administrative tasks as needed in the office environment.
  • Provide basic and accurate information in-person and via phone or email.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Hands-on experience with office equipment like printers and fax machines.
  • Strong written and verbal communication skills are essential for this role.
  • Excellent organizational skills and multitasking capabilities in a busy setting.
  • A customer-oriented approach with the ability to handle requests professionally.
  • High school degree; additional certification in Office Management is a plus.
