Job Description

As a Receptionist at our organization, you are the face and voice that welcomes our clients, partners, and visitors both in-person and on the phone. You play a crucial role in creating a positive first impression and contribute to the smooth functioning of the daily operations within the company. You will be responsible for managing a variety of administrative and clerical duties to support the team. Your ability to handle inquiries efficiently and direct clients to the appropriate personnel is essential. We rely on you to be highly organized, approachable, and capable of multitasking in a fast-paced environment. Your contribution is pivotal in maintaining the welcoming atmosphere and highest standards of professionalism at our workplace.


Responsibilities

  • Greet and welcome visitors with a positive and helpful attitude.
  • Answer and direct all incoming phone calls in a professional manner.
  • Maintain the reception area, ensuring it is tidy and presentable.
  • Manage scheduling and appointments using company calendar systems.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries as required.
  • Maintain confidentiality of all information, adhering to protocols and procedures.
  • Assist with administrative tasks such as data entry and filing paperwork.
  • Coordinate with other team members to ensure smooth office operations.
  • Monitor office supplies and place orders when necessary to maintain inventory.
  • Assist in preparing meeting rooms and greet guests attending meetings.
  • Provide additional support to the office management as instructed.

Requirements

  • High school diploma or equivalent is required for the position.
  • Proven work experience as a receptionist or similar role is desirable.
  • Proficiency in Microsoft Office Suite and office equipment handling.
  • Excellent verbal and written communication skills are mandatory.
  • Strong organizational skills with the ability to multitask effectively.
  • Exceptional customer service skills with a friendly and professional demeanor.
  • Ability to be resourceful and proactive when issues arise in the workplace.
