Responsibilities

  • Greet and welcome visitors promptly with a positive and friendly attitude.
  • Answer, screen, and forward incoming phone calls efficiently and accurately.
  • Receive and sort daily mail and deliveries for distribution throughout the office.
  • Maintain the general tidiness and organization of the reception and waiting areas.
  • Provide accurate information and handle inquiries regarding the company’s services.
  • Assist with scheduling and coordinating meetings, appointments, and conference calls.
  • Ensure proper maintenance and functioning of office equipment and supplies.
  • Update and manage visitor logs, ensuring compliance with security procedures.
  • Assist with various administrative tasks as assigned by the management team.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Coordinate with various departments to facilitate communication and office support.
  • Provide administrative support to other team members and departments as needed.

Requirements

  • High school diploma or equivalent is required for this position.
  • Previous experience as a receptionist or in a related administrative role.
  • Strong communication skills, both written and verbal, are essential.
  • Proficient in using office software, including MS Office and phone systems.
  • Excellent organizational skills with a strong attention to detail.
  • Ability to manage multiple tasks and work under pressure efficiently.
  • Professional appearance and a friendly, approachable demeanor.
  • Flexibility to work in a fast-paced and dynamic work environment.
  • Basic understanding of office management practices and procedures.
