Job Description

As a Personal Assistant, you will play a pivotal role in enhancing the efficiency and productivity of the executive you are supporting. You will be responsible for a variety of administrative tasks and act as the point of contact between executives and internal or external colleagues. The ideal candidate will be professional, attentive, and possess excellent organizational and communication skills. You will be expected to manage scheduling, coordinate meetings, handle communications, and perform special projects as needed. Your ability to anticipate needs, think critically, and offer solutions to problems will be central to your success in this role. You must be adept at multitasking and managing priorities in a fast-paced environment.


Responsibilities

  • Manage the executive’s daily schedule, ensuring efficient time use and prioritization.
  • Coordinate and organize meetings, including preparing agendas and distributing minutes.
  • Act as the point of contact between the executive and employees, partners, and clients.
  • Screen and direct phone calls, emails, and other communications efficiently.
  • Handle travel arrangements, including booking flights, accommodations, and transportation.
  • Conduct research and compile reports, presentations, and correspondence as needed.
  • Oversee special projects, ensuring completion within established timelines and expectations.
  • Maintain confidentiality and discretion regarding company information and executive activities.
  • Manage office supplies and ensure the executive’s workspace is organized and efficient.
  • Assist with personal tasks to alleviate the executive’s workload efficiently.
  • Track and report on key project milestones, offers proactive updates on progress.
  • Provide administrative support during meetings, including notetaking and follow-up tasks.

Requirements

  • Proven experience as a personal assistant or in a similar role is essential.
  • Excellent verbal and written communication skills in English.
  • Strong organizational and multitasking abilities, with great attention to detail.
  • Proficiency in MS Office Suite and other productivity tools is required.
  • Discretion and confidentiality in handling sensitive company information.
  • Flexible and adaptable to changing priorities and schedules.
  • Ability to work independently and take initiative when necessary.
