Job Description

We are seeking a highly organized and proactive Personal Assistant to support our executive team. As a Personal Assistant, you will play a crucial role in enhancing the team’s productivity by efficiently managing their schedules, handling correspondence, and undertaking various tasks to facilitate their day-to-day activities. The ideal candidate is someone who can effortlessly adapt to changing priorities and unforeseen interruptions while maintaining a high level of professionalism. You should be detail-oriented, excellent at time management, and capable of working independently and collaboratively. If you have a knack for problem-solving, excellent communication skills, and are keen on supporting an executive in a dynamic environment, we would like to meet you.


Responsibilities

  • Manage and organize scheduling, meetings, and appointments for executive members.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate travel arrangements including flights, accommodation, and itineraries.
  • Maintain and organize files, databases, and records for efficient retrieval.
  • Assist in planning and execution of company events and meetings.
  • Handle incoming telephone calls, emails, and inquiries in a timely manner.
  • Support budget and expense management, including preparing reports.
  • Conduct research and compile data to support executive decision making.
  • Communicate effectively and maintain confidentiality at all times.
  • Provide administrative support as needed to optimize executive productivity.
  • Liaise with internal staff and external vendors to meet project deadlines.
  • Ensure timely completion of all delegated tasks and projects.

Requirements

  • Proven experience as a Personal Assistant or similar administrative role.
  • Excellent organizational and time management skills are essential.
  • Strong communication skills, both verbal and written, are required.
  • Proficiency in MS Office Suite, including Word, Excel, and PowerPoint.
  • Ability to handle multiple tasks while maintaining a high level of accuracy.
  • Discretion and confidentiality in dealing with sensitive information.
  • A proactive and resourceful problem-solving approach is critical.
  • Bachelor’s degree in Business Administration or related field preferred.
  • Ability to work independently, and as part of a team, in a fast-paced environment.
