Responsibilities

  • Manage and maintain executive schedules, appointments, and travel arrangements efficiently.
  • Coordinate meetings, conferences, and essential working groups as required by the executive team.
  • Prepare meeting agendas, perform research, and keep track of action points with meticulous care.
  • Screen incoming calls, correspondence, and respond promptly on behalf of the executive.
  • Maintain confidentiality by handling sensitive documents and communications discreetly.
  • Act as a liaison between the executive and staff, providing necessary support and information.
  • Handle project support, compiling research, reports, and presentations in a timely manner.
  • Track expenses, prepare reports, and manage budgeting activities for the executive department.
  • Foresee potential issues and constructively propose solutions before they become problems.
  • Maintain a positive, can-do attitude while working under pressure and tight deadlines.
  • Plan social or office events, ensuring smooth coordination from inception to completion.
  • Support personal needs of the executive such as personal errands or household management tasks.

Requirements

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
  • Strong organizational and multitasking skills to effectively manage executive workload.
  • Excellent verbal and written communication skills for effective interpersonal interactions.
  • Ability to maintain discretion and confidentiality in handling sensitive information.
  • Proficiency in using office software like MS Office Suite, including Word and Excel.
  • Experience with scheduling tools and project management software is advantageous.
  • A proactive problem-solver with the ability to foresee and prevent potential challenges.
