Job Description

We are seeking a dedicated and proactive Personal Assistant with exceptional organizational skills to support our executive team. The ideal candidate will be able to manage a variety of tasks simultaneously while maintaining a high level of professionalism and confidentiality. The role includes handling correspondence, managing schedules, and organizing meetings, making it essential that the candidate is highly detail-oriented and demonstrates excellent time management skills. As a Personal Assistant, you will be the primary point of contact for key stakeholders and partners, ensuring smooth and efficient communication. We are looking for a reliable and adaptable individual with the ability to work independently as well as part of a team, eager to contribute to the success and efficiency of our organization.


Responsibilities

  • Manage and organize executive schedules, including meetings, appointments, and travel arrangements.
  • Handle confidential information with utmost discretion and professionalism at all times.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate with internal and external stakeholders to schedule meetings and events efficiently.
  • Monitor and respond to emails, calls, and enquiries promptly and courteously.
  • Assist in the planning and execution of special projects and organized events.
  • Maintain and update filing systems, both electronic and paper, for easy retrieval.
  • Conduct research and compile data as needed for various business purposes.
  • Prepare meeting agendas, take minutes, and distribute them to involved parties afterward.
  • Arrange for the procurement of office supplies and maintain office equipment as necessary.
  • Manage expense reports and assist in managing budgets and financial documents.

Requirements

  • Proven experience as a Personal Assistant or similar administrative role.
  • Strong organizational skills with a keen attention to detail and accuracy.
  • Excellent verbal and written communication skills are essential for the role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • High level of integrity and confidentiality in handling sensitive information.
  • Flexibility to occasionally work outside of standard business hours.
