The Medical Receptionist is a vital position within any healthcare setting, serving as the first point of contact for patients and visitors. In this role, you will be responsible for managing the smooth and efficient operation of the front desk, handling a wide range of administrative duties while ensuring a welcoming and supportive environment for patients. You will assist in scheduling appointments, managing patient records, handling inquiries, and coordinating communication between medical staff and patients. Your attention to detail and excellent communication skills will contribute to the daily operations of the medical facility, ensuring patient satisfaction and maintaining the high standards of care that the healthcare community demands. Responsibilities

  • Greet and assist patients and visitors with a friendly demeanor upon arrival.
  • Schedule and confirm appointments for patients using the medical practice software.
  • Maintain patient records and ensure all necessary forms and information are recorded accurately.
  • Answer phone calls promptly and direct inquiries to the appropriate departments or personnel.
  • Handle billing processes, including collecting payments and managing insurance claims.
  • Coordinate with medical staff to manage clinic schedules and reschedule appointments when necessary.
  • Assist in managing electronic patient data and adhere to confidentiality protocols.
  • Organize and maintain a tidy and well-functioning reception area to improve patient experience.
  • Provide information about medical processes and procedures to patient inquiries effectively.
  • Collaborate with clinical staff to ensure accurate communication and efficient workflow.
  • Prepare and distribute daily reports regarding reception area activities and patient visits.
  • Support administrative tasks like faxing, scanning, copying, and distributing correspondence.

Requirements

  • High school diploma or equivalent; additional certification in medical administration is a plus.
  • Two years of experience in a medical receptionist or similar administrative role preferred.
  • Excellent communication skills, both written and verbal, with keen attention to detail.
  • Proficient in using medical software systems and basic administrative computer applications.
  • Ability to manage multiple tasks efficiently in a busy healthcare environment.
  • Strong organizational skills with the ability to prioritize and handle time-sensitive tasks.
  • Demonstrated customer service skills and a respectful, compassionate approach to patient care.
